Associated Engineering, a proudly Canadian, Employee-owned Company is seeking an experienced and dedicated Office Manager to join our team in our Calgary office. This is an opportunity to lead the day-to-day operations of the Calgary office with a focus on supporting staff, enhancing the employee experience, and maintaining an organized, responsive, well-resourced office that enables team success and high-quality client service. The successful candidate will bring a proactive, solutions-oriented mindset and a consistently positive approach. This role requires effective collaboration with staff at all levels, including leadership, as well as clients and external partners.

What you'll be doing:

  • Promoting a supportive and positive office environment through responsiveness to employee requests and issues, and identification of improvement opportunities.
  • Managing physical space requirements and systems.
  • Managing workspace sharing and allocation and tracking of work arrangements.
  • Managing parking administration.
  • Liaising with the building’s Property Manager to ensure all issues are communicated and resolved in a timely and efficient manner.
  • Overseeing office services, maintenance, cleaning, repairs, provision of supplies and other office management requirements including liaison with vendors and suppliers as appropriate.
  • Ensuring the office is professional, well-maintained, and welcoming for staff, clients, and guests.
  • In support of the leadership team, developing and tracking office related capital budget needs and expenditures and responding to requests from the team.
  • Preparing and managing asset inventories.
  • Contributing to the annual business plan development and implementation.
  • Providing coverage for reception and office administration tasks as required.
  • Overseeing management of electronic and physical filing systems.
  • Assisting with other administrative tasks as required.
  • Leading and implementing internal event organization and, where appropriate, supporting staff in organizing internal events.
  • Leading the organization of identified external events, including scheduling, identification and organization of venues, event formats, and catering, in line with the company’s branding and standards.
  • Maintaining our client database.
  • Managing promotional inventory to ensure adequate supply is consistently available.

  • Diploma in Business Administration (or equivalent); relevant experience will be considered in lieu of formal education.
  • 7+ years of relevant experience.
  • Excellent written and verbal communication skills.
  • Strong administrative, organizational, and interpersonal skills.
  • Proven experience handling confidential and sensitive information.
  • Experience thriving in a high-energy, fast-paced office environment.
