Job Details:
The School of Medicine is searching for an Office Assistant on the Macon, Georgia campus.
Responsibilities:
The Office Assistant serves as the primary point of contact for the Mercer University School of Medicine (MUSM), establishing a professional and welcoming presence for all visitors and callers. Responsibilities include front desk reception, guest engagement, management of incoming calls, coordination of room reservations through the 25Live system, and oversight of daily mail operations for the Dean's Suite and MUSM departments. Additional duties include administrative support for assigned projects, coordination of office supply management for the Dean's Suite, processing of Federal Express shipments and related payments, and collaboration with the Finance Team to complete Supplier Invoice Requests. Backup coverage for essential functions during scheduled absences is required.
Qualifications:
Candidates must have a high school diploma/GED and some prior administrative support experience. Candidates must be able to use Microsoft Word/Excel/Office Suite. Candidates with a bachelor's degree and/or prior higher education experience are highly desirable.
Knowledge/Skills/Abilities:
  • Demonstrated ability to communicate effectively with key stakeholders across external organizations and agencies throughout Georgia, as well as with all levels of management within the Mercer University School of Medicine.
  • Strong customer service skills with the ability to interact professionally and effectively with both internal and external constituents.
  • Proficiency in Microsoft Word and Excel to prepare reports, correspondence, and a variety of documents.
  • Ability to accurately and efficiently prepare, process, and enter documents within the Workday system.
  • Ability to maintain strict confidentiality while serving as a liaison between administrative staff and faculty.
  • Ability to work independently, prioritize tasks, and manage workload to meet established deadlines.
  • Ability to manage multiple tasks simultaneously, monitor ongoing activities, anticipate needs, and plan accordingly, supported by strong interpersonal skills.
