Job Description
We are looking for an Office Manager to organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
Key Responsibilities:
โ€ข Serve as the single point of contact person for office manager duties including and not restricted to Maintenance, Mailing, Supplies, Equipment, Mailing, Supplies, Bills
โ€ข Manage the stationery and equipment
โ€ข Maintain the Office facility
โ€ข Partner with HR to update and maintain office policies as necessary
โ€ข Organize office operations and procedures
โ€ข Coordinate with IT department on all office equipment
โ€ข Ensure timely payment of Bills.
โ€ข Manage contract and price negotiations with office vendors, service providers and office lease
โ€ข Manage office budget, ensure accurate and timely reporting
โ€ข Provide general support to visitors.
โ€ข Assist in the onboarding process for new hires.
โ€ข Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
โ€ข Plan in-house or off-site activities, like parties, celebrations.
Qualifications
โ€ข Proven experience as an Office Manager, Front office manager or Administrative assistant
โ€ข Knowledge of office administrator responsibilities, systems and procedures
โ€ข Proficiency in MS Office (MS Excel and MS Outlook, in particular)
โ€ข Excellent time management skills and ability to multi-task and prioritize work
โ€ข Attention to detail and problem-solving skills
โ€ข Excellent written and verbal communication skills
โ€ข Strong organizational and planning skills in a fast-paced environment
โ€ข A creative mind with an ability to suggest improvements
