Overview

Lefant is looking for an experienced office manager to support our team. The position is full time, in our office in Dumfries, VA and requires extensive experience with supporting Executives especially in a government contracting firm setting.

Responsibilities include:

  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage logistics, shipping and receiving of laptops and accountability of assets
  • Manage information flow in a timely and accurate manner
  • Manage executives' calendars and set up meetings
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Oversee the performance of other clerical staff
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication - memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Prepare statistical, financial or even administrative reports that the executive may require
  • Assist the executive to meetings and prepare minutes for the meeting
  • Set up video conferences
  • Prepare and format emails and memos for internal or external communication, as per the executive's direction
  • Thoroughly understand the company policies and suggest changes that may be beneficial



Required Minimum Experience:

  • Minimum 10 years demonstrated excellence as an office manager/executive assistant.
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (copiers, teleconference equipment, etc)
  • Excellent verbal and written communications skills
  • Discretion and confidentiality

Desired Qualifications:

  • Bachelor's degree
  • former military or government experience is highly desired!
