Position Overview:

At Circle’s Calgary head office, no two days look the same and we’re looking for someone who thrives in that energy. As HR/Office Administrator, you’ll be the glue that keeps daily office operations running smoothly, the first person employees will reach out to, and a trusted right hand to our HR team.


This isn’t a “just admin” role. You’ll help coordinate town halls and other big company moments, keep the office humming, and get hands-on exposure across the full employee lifecycle, from onboarding to benefits to performance support. The HR/Office Administrator will report to the HR Director.  


General Responsibilities: 

  • Be the face and voice of circle. Handle reception with polish by answering and directing calls, plus managing shipping and receiving for the whole office.
  • Help bring big moments together. Support the coordination of town halls and other larger company events and meetings, keeping logistics on track behind the scenes.
  • Run point on the building. Be the go-to contact for the building operator: service requests, meeting room bookings, key cards, parking, all of it.
  • Stock the essentials. Keep the office and kitchen fully supplied so the team never misses a beat. 
  • Bring people together. Plan and coordinate corporate events that people actually look forward to.
  • Keep travel on track. Oversee corporate travel bookings through Melon, our corporate travel partner.
  • Power the paperwork. Support data entry, reporting, and polished documents and presentations.
  • Make new hires feel at home. Partner with IT and hiring managers to deliver a seamless, well-timed onboarding experience.
  • Champion Recognition. Own and run our Kudos recognition platform program, celebrating great work across the company. 
  • Jump into the mix. Take on special projects and evolving priorities as they come up. No two weeks look the same. 


Required Skills/Experience: 

  • 2+years of office management experience (or an equivalent mix of education, training, and experience).
  • Sharp skills in Microsoft Office: Word, PowerPoint, Excel and Teams.
  • A track record of handling confidential information with discretion and care.
  • A knack for juggling multiple priorities under tight deadlines without missing a beat.
  • Bonus points for admin experience in the Software or Medical industries.
  • A calm, capable presence, even when things get busy.


Educational Requirements:

  • An Administration diploma is a nice to have but not required. Candidates with hands-on experience will also be considered.
