Customer Service Representative, Office Coffee Solutions

Reporting To: Justin Allen
Compensation: $18.00 - $20.00 / hour
Description
We are seeking a detail-oriented Customer Service Representative to support daily operations and ensure accurate order processing and fulfillment for Office Coffee Service (OCS) products. This role is primarily focused on administrative and operational support.
You will work closely with internal teams to manage orders, maintain accurate records, and ensure timely delivery. In addition, this role includes hands-on warehouse responsibilities to check on availability of product.
Shift: Monday - Friday 7 AM to 3:30 PM
Essential Duties & Responsibilities
  • Support customer service operations by managing inquiries through internal systems (email, JIRA, and other platforms) with limited direct customer interaction
  • Maintain accurate customer data, delivery orders, and invoices across company systems
  • Assist in processing and verifying OCS orders to ensure accuracy and timeliness
  • Collaborate with internal teams to resolve issues and ensure completion of requests
  • Monitor case activity within third-party portals and ensure proper follow-up
  • Audit monthly invoices and distribute outstanding or additional billing
  • Create invoices for non-standard charges such as shrink, minimums, billable hours, and credits
  • Support cross-functional projects and assist with implementation of new processes and procedures
  • Perform additional duties and special projects as assigned

Job Requirements
  • Strong attention to detail and organizational skills
  • Ability to work independently in a structured, process-driven environment
  • Comfortable using multiple systems and managing administrative tasks, must have strong Excel skills
  • Team-oriented mindset with strong internal communication skills
