Office Associate

Fort HealthCare is a patient-centered hospital and healthcare system serving individuals, businesses and families in Jefferson, Dane, and Walworth Counties. We are seeking an Office Associate to join our Central Registration team.

Shift: Part time Day shift 72 hours per bi-weekly pay period

The Office Associate presents a positive first impression for the patient experience, both telephonically and patient-facing. The Office Associate is responsible for performing general office functions including greeting patients, answering the phone, registering, and scheduling appointments. The Office Associate obtains accurate and up-to-date information for patients' insurance and performs detailed data entry into the Electronic Health Record (EHR).

Responsibilities of this position include:

  • Provides seamless care to the patient by communicating effectively with staff, patient, and providers, following the RESPECT values. Greets all persons entering the department and assists based on their needs. Utilizes available resources to best meet each person's needs. Manages the waiting room and updates patients on any delays.
  • Controls the department communication systems by communicating effectively and professionally managing all aspects of the various programs and technology used by the department.
  • Accurately registers patients and reviews insurance information to verify and obtain current eligibility.
  • Collects payments on accounts and insurance co-payments. Creates receipts, reconciles daily collections, and maintains cash drawer according to business office protocols.
  • Maintains and monitors the computerized appointment schedule throughout the continuum of care.
  • Consistently demonstrates professional poise and presence when interacting with internal and external customers, as well as staff. Professionalism is demonstrated through behavior, communication and attire.
  • Processes proper orders per department specific guidelines.
  • Is willing and able to float to other departments as needed.

Requirements of this position include:

  • High School Diploma or GED required
  • 1-2 years of medical office experience preferred
  • Experience with insurance information and a background in healthcare preferred
  • Electronic scheduling and registration experience preferred
  • Knowledge of medical terminology preferred
  • Valid Wisconsin driver's license and current auto insurance or other reliable transportation between clinics may be required, based on department
