Job Overview

We are seeking a dedicated and knowledgeable Office Manager to join our team. The ideal candidate will have a strong background in healthcare administration, medical office operations, and team leadership. This role involves working closely with providers, clinical staff, front office teams, and regional leadership to ensure efficient clinic operations, an exceptional patient experience, and adherence to company policies and procedures.


Duties

  • Oversee the daily operations of the medical office to ensure efficient patient flow and exceptional customer service.
  • Support providers and staff by maintaining organized workflows and addressing operational challenges.
  • Supervise front desk and medical assistant staff, providing coaching, guidance, and support as needed.
  • Ensure adherence to check-in, check-out, scheduling, and rooming procedures.
  • Monitor completion of prior authorizations, referrals, and insurance-related requirements.
  • Address patient concerns and assist in resolving scheduling, billing, and service-related issues.
  • Review and approve employee timecards and assist with staffing coordination.
  • Maintain office supplies and coordinate ordering to ensure uninterrupted clinic operations.
  • Assist with payment reconciliation, financial documentation, and operational reporting.
  • Manage patient satisfaction feedback and support service recovery efforts when necessary.
  • Coordinate resolution of technology and equipment issues with appropriate vendors and support teams.
  • Support onboarding and training of new employees.
  • Assist leadership with performance management and annual employee reviews.


Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum of 2 years of healthcare office management, medical office administration, or supervisory experience preferred.
  • Knowledge of medical office workflows, insurance verification, referrals, and prior authorizations.
