Job Description: OFCI CoordinatorPosition Summary
The OFCI Coordinator (Owner-Furnished, Contractor-Installed) is responsible for managing thereceiving, documentation, tracking, and issuing of OFCI equipment and materials on the project. This roleserves as a key link between Procurement, Warehouse, QC, Project Management, and Field teams to ensureOFCI materials are properly documented, inspected, stored, issued, and communicated throughout theproject lifecycle.The OFCI Coordinator plays a critical role in risk mitigation, material accountability, and schedule support byensuring all OFCI processes are consistently followed and accurately recorded.
Key Responsibilities
Receiving & Documentation
Coordinate and oversee the receiving of all OFCI equipment and materials.
Document shipment details prior to offloading, including photographing truck license plates withvisible date and time stamps.
Verify shipments against documentation and confirm completeness.
Quality Control & Issue Management
Create QC inspection reports in Procore prior to receiving OFCI shipments.
Perform thorough inspections of received equipment and materials to identify damages, shortages,or discrepancies.
Accurately document issues within QC inspections and support findings with photos and relevantdocumentation.
Communicate all identified issues promptly to Procurement, QC, Project Managers, and Field teams.
Communication & Reporting
Respond in a timely and professional manner to shipment status inquiries from General Contractoror Owner representatives.
Provide clear summaries of receiving outcomes, including confirmation of deliveries or identificationof issues.
Maintain clear and organized communication channels across all stakeholders.
Procore Management & Recordkeeping
Establish and maintain dedicated folders in Procore for all OFCI-related correspondence anddocumentation.
Ensure all emails, inspection reports, transmittals, and shipment records are properly filed and easilyretrievable.
Maintain an accurate tracker of all received and issued OFCI equipment within Procore.
Equipment Coordination
Coordinate with Superintendents and Field leadership to understand equipment needs and requireddates.
Ensure adequate lead time is provided to Procurement and Warehouse teams based on fieldrequirements.
Support planning efforts by aligning OFCI availability with project schedules.
Issuing OFCI Materials to the Field
Prepare and manage OFCI transmittals for all materials issued to the field.
Obtain Superintendent signatures acknowledging receipt of OFCI materials.
Retain signed documentation for audit, tracking, and accountability purposes.
Ongoing Monitoring & Compliance
Conduct periodic reviews to ensure adherence to OFCI receiving and issuing procedures.
Identify gaps or inconsistencies in process execution and recommend corrective actions.
Support continuous improvement of OFCI material handling processes across projects.
Qualifications
Minimum 3-5 years of experience in construction logistics, procurement, warehouse operations, or
material coordination (data center or mission-critical experience preferred).
Strong working knowledge of Procore (QC inspections, document management, and tracking).
Familiarity with OFCI/OFCM material processes and construction documentation.
Excellent organizational skills with high attention to detail.
Strong written and verbal communication skills.
Ability to work cross-functionally with Procurement, QC, PMs, Warehouse, and Field teams.
Ability to manage multiple priorities in a fast-paced construction environment.
Preferred Skills
Experience on large-scale or data center construction projects.
Understanding of material accountability, chain of custody, and risk mitigation.
Basic knowledge of construction schedules and field operations.
Reporting Structure
Reports to: Procurement Manager / Construction Operations Manager (project dependent).
Works closely with: Procurement Team, Warehouse Team, QC Team, Project Managers,
Superintendents, and General Contractor representatives.
Key Performance Indicators (KPIs)
Accuracy and completeness of OFCI receiving documentation.
Timeliness of issue reporting and communication.
Reduction in lost, damaged, or unaccounted OFCI materials.
Compliance with established OFCI procedures.
Responsiveness to field and stakeholder requests.
