Position Title: Administrative Professional - Generalist
Summary of the Job:
The Administrative Professional is responsible for providing administrative support, general clerical, receptionist and project-based work. The Administrative Professional should be committed to Sanctuary practice utilizing tools that reinforce our shared language to create a trauma-responsive culture.
Primary Responsibilities:
  1. Keep office running smoothly/efficiently within the team approach.
  2. Act as official greeter and direct guest as needed maintaining high level of customer service.
  3. Process office mail-outgoing and incoming.
  4. Create and modify documents using various software with accuracy and in a timely manner as assigned.
  5. Process census reports and other reports as assigned.
  6. Provide administrative support to the Support Services department.
  7. Monitor and insure proper licensure and policy procedures within assigned program.
  8. Become notary public or maintain notary public status as assigned.
  9. Ensure documentation is in full compliance with agency, licensing, accreditation and contract guidelines.
  10. Manage inventory of office supplies and purchase within the budget provided.
  11. Utilize personal safety plan for managing emotions and interactions with staff and clients.
  12. Participate in PQI process for assigned program.

Additional Responsibilities:
  1. Manage the switchboard, handling incoming and outgoing calls as assigned; including maintaining and operating office answering machine.
  2. Crosstrain and support/fill in for HR and Finance Administrative Professional as needed.
  3. Assist with planning and coordination of campus events and activities as requested.
  4. Maintain orderly lobby and monitor visitor and work area.
  5. Operate and maintain various office equipment.
  6. Represent agency favorably at all time.
  7. Other duties as assigned.

Requirements
Qualifications:
  1. At least 21 years of age
  2. A high school diploma or GED and one year experience in related field or successful completion of a formal training curriculum from a technical college or school pertaining to skills need to perform tasks assigned.
  3. Strong written and verbal communication skills
  4. Ability to sit at workstation for extended periods of time; occasionally lift/carry parcels up to 35 pounds.
  5. Ability to read and interpret documents/procedure manuals.
  6. Possess the ability, flexibility and maturity to render the duties and responsibilities required of this position.
  7. Have the ability to manage time, set priorities and to organize and follow structured routines .
  8. Advanced computer skills with the ability to learn new software applications.
  9. Handle multiple tasks simultaneously.
