POSITION SUMMARY

AH Group is seeking a driven, service-oriented On-Site Account Representative to manage the inventory and logistics of industrial machine spare parts at a customer manufacturing facility. This is not a behind-the-desk role — you will be embedded on the plant floor, working directly alongside the customer to ensure that all failed parts are identified, tracked, processed, and shipped without delay.

In manufacturing, downtime is costly. When a machine fails, every hour it sits idle impacts production, revenue, and the customer relationship. As the On-Site Account Representative, you are AH Group's frontline — responsible for acting with urgency, communicating with clarity, and doing whatever it takes to get the right part to the right place as fast as possible. Exceptional customer service is not optional in this role; it is the standard.

KEY RESPONSIBILITIES

  • Customer Relationship Management: Serve as the daily point of contact for the customer at the facility level. Anticipate their needs, provide timely status updates on open parts, communicate transparently about delays, and build a relationship founded on reliability and accountability.
  • Parts Identification & Collection: Proactively gather failed industrial components from designated areas throughout the manufacturing facility. Quickly assess and prioritize based on urgency and production impact.
  • Inventory & ERP Data Entry: Accurately enter and maintain part data and transaction records in the customer's ERP system in real time. Ensure inventory records are always current so that no part falls through the cracks. Full ERP training will be provided.
  • Supplier & Vendor Communication: Maintain consistent, proactive communication with suppliers and vendors via phone, email, and in-person contact. Follow up on open orders, expedite critical shipments, and escalate delays that could impact plant uptime.
  • Shipping & Receiving: Coordinate the full shipping and receiving cycle for parts moving to and from suppliers and repair facilities. Verify counts, inspect condition, document discrepancies, and ensure every shipment is handled with accuracy and speed.
  • Downtime Prevention: Understand the production priorities of the customer and align your daily work accordingly. When a critical machine is at risk of going down — or already down — treat it as the highest priority and drive resolution with urgency across all parties involved.
  • Documentation & Reporting: Maintain accurate records of all parts transactions, supplier communications, and open items. Flag outstanding issues proactively so nothing is missed.
  • Physical Parts Handling: Assist with the physical movement of parts as needed, including loading, unloading, and organizing parts within the facility. This role involves hands-on, physical work in addition to administrative and communication duties.

QUALIFICATIONS

Required

  • Exceptional communication skills — written, verbal, phone, and in-person; this role requires confident, professional interaction with plant personnel, customer management, and external suppliers every day
  • Strong sense of urgency and ability to prioritize in a fast-paced, dynamic manufacturing environment
  • Customer-first mindset with a commitment to delivering a high level of service and responsiveness
  • Strong organizational skills and attention to detail; ability to manage multiple open transactions simultaneously without losing accuracy
  • Comfortable performing physical tasks including lifting, handling, and moving industrial parts as needed
  • Basic computer proficiency; comfortable with data entry and learning new software systems
  • Reliable, punctual, and self-directed — able to operate independently on a customer site with a high degree of ownership

Preferred

  • Experience in a customer-facing role in a manufacturing, industrial, or supply chain environment
  • Familiarity with ERP or inventory management systems (SAP, Oracle, or similar); full training provided
  • Background in parts, logistics, procurement, or vendor management
  • Experience working on-site at a manufacturing or production facility

PHYSICAL REQUIREMENTS

  • Lifting and carrying of industrial parts and components; weights will vary (up to 40 pounds)
  • Extended periods of standing and walking throughout a manufacturing facility
  • Bending, reaching, and hands-on handling of parts in warehouse and plant floor environments
  • Exposure to noise, machinery, and industrial conditions typical of an active manufacturing plant

BRIEF SCOPE OF WORK

On a daily basis, the On-Site Account Representative will:

  • Identify and collect failed or flagged industrial machine parts from the customer facility
  • Enter and update all part data and transactions in the ERP system with accuracy and timeliness
  • Communicate proactively with suppliers and vendors to manage open orders and expedite critical parts, when needed
  • Coordinate inbound and outbound shipments; verify and document all activity
  • Serve as the primary on-site point of contact for the customer — providing updates, resolving issues, and driving urgency to minimize machine downtime and protect plant productivity
