NextGen Precision Health Initiative
Job Description
Position Summary
The Initiative Senior Program/Project Coordinator provides advanced coordination and operational support for strategic programs, projects, and events that advance the mission of the NextGen Precision Health Initiative. This position is responsible for coordinating complex projects and multi-faceted events, facilitating communication among diverse stakeholders, monitoring timelines and deliverables, and supporting successful program execution. The position works collaboratively with Initiative staff, faculty, trainees, university partners, vendors, and external stakeholders to ensure programs and events are delivered efficiently and in alignment with established objectives. The role provides project coordination and work guidance for assigned activities but does not have formal supervisory responsibilities.
Essential Functions
Program and Project Coordination (30%)
Coordinate planning and implementation activities for the NextGen Pathways program and other strategic Initiative projects.
Develop and maintain project plans, timelines, schedules, and tracking tools.
Coordinate communications, registration activities, participant engagement, materials, speakers, and logistical needs.
Monitor project milestones and deliverables and communicate status updates to stakeholders.
Identify operational challenges and recommend solutions to support successful project outcomes.
Event Coordination and Logistics Management (25%)
Coordinate recurring and special events, including workshops, seminars, symposia, outreach activities, leadership meetings, and other Initiative-sponsored programs.
Manage event logistics, vendor coordination, facilities arrangements, technology support, and participant communications.
Support on-site event operations and resolve issues as they arise.
Ensure a positive participant experience and maintain alignment with program objectives.
Stakeholder Engagement and Communication (20%)
Serve as a primary point of contact for faculty, staff, students, trainees, university departments, UM System partners, community organizations, and vendors regarding assigned programs and projects.
Facilitate meetings, coordinate follow-up activities, and maintain ongoing communication with stakeholders.
Assist in gathering information, clarifying expectations, and ensuring timely completion of assigned action items.
Operational and Administrative Support (15%)
Maintain project documentation, records, and reporting materials.
Assist with budget tracking, expenditure monitoring, purchasing processes, and vendor coordination.
Support data collection, outcome tracking, and preparation of reports and presentation materials.
Assist with development and implementation of process improvements that enhance efficiency and program effectiveness.
Continuous Improvement and Special Projects (10%)
Participate in the assessment and evaluation of program effectiveness.
Gather stakeholder feedback and assist in developing recommendations for improvement.
Provide coordination support for special projects and additional Initiative priorities as assigned.
Shift
Monday - Friday 8:00 a.m. to 5:00 p.m., occasional nights and weekends
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
Experience coordinating large-scale events, programs, or projects involving multiple stakeholders.
Experience in higher education, academic health, research, nonprofit, or related environments.
Knowledge of project management principles and practices.
Excellent organizational, communication, and relationship management skills.
Experience tracking budgets, preparing reports, and coordinating vendor activities
Anticipated Hiring Range
Salary Range: $53,976 to $75,000 per year
Grade: GGS 010
