PROFESSIONAL SECRETARY I, 10.5 MOS
WEST HIGH
7:00 am - 3:30 pm (starting/ending time may change as they are set by the building to meet their needs)
Current secretaries use the internal bidding process to apply.
All other current district employees (not a secretary), or external applicants apply online by completing the external application.
Entry Wage 2026-27, $18.93/hr: Current secretaries with seniority please refer to the Wage Sections of the secretary contract.

EXTERNAL APPLICANTS (will hire externally if no internal bidder): Open until position is filled.

Duties & Responsibilities: (Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships)
  • Greet public, parents, students, vendors, etc. for the purpose of responding to their inquiries and/or directing them to appropriate personnel.
  • Answer multiline phone system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
  • Perform general and program specific clerical functions (copying, preparing documents, faxing, etc.) for the purpose of supporting building staff with necessary materials as requested.
  • Create spreadsheet for Teacher's Master Schedule each term (teacher classroom/duty/prep assignments)
  • Greet families new to West, assist counselors and Administration.
  • Assist offices with mass mailings, report card distribution, and schedule distribution.
  • Create and distribute weekly calendars, school and district event highlights, school newsletter, handbook, and assist with updating school website.
  • Enter student discipline data into Infinite Campus
  • Assist with and monitor and/or enter student information into Campus for the purpose of RTI block.
  • Prepare mail for pick up
  • Assist with registration duties. Wait on parents/guardians.
  • In charge of locker assignments for students. Keep records of used lockers and replace padlocks on lockers that are empty.
  • Assist with all end-of-year office functions.
  • Prepares written materials: Some examples include (Honors and Graduation programs, press releases, reports, memos, letters, rosters, requisitions, schedules, etc.)
  • Start-up, shut down, securing of office and machines on a regular basis.
  • Assist all other secretaries in the building when needed
  • Other duties as assigned by Principal & Associate Principals

Physical Requirements of Position: (HBV Yes No)
  • Ability to routinely lift/carry office supplies and printed materials weighing up to 25 lbs - occasionally lifting 50 pounds
  • Ability to hear and understand speech at normal levels in person and/or on the telephone.
  • Ability to communicate so others will be able to clearly understand a normal conversation in person and/or on the telephone
  • Ability to operate computer, calculator, copy machine, telephone, and other office equipment with dexterity and in a safe and efficient manner.

  • Excellent Attendance REQUIRED - must have an excellent attendance record.
  • Successful bidder or applicant will be required to take a computer test to demonstrate competence in Word, Excel, and Infinite Campus.
  • Experience with Infinite Campus, Excel, Word, Outlook, AESOP and willingness and ability to learn new systems as appropriate
  • Recognition of the need for strict confidentiality with respect to student, staff and parental rights and privacy as well as confidentiality of all conversation and hard copy information
  • Must be a team member and have good communication skills, both oral and written
  • Self-motivated, ability to work independently, Communicate clearly, both in writing and verbally
  • Flexibility in meeting the needs of students and the school
  • Ability to meet and interact positively with the public and to respond appropriately to students, staff and co-workers
