Job description

I. Essential Duties and Responsibilities

The Sr. NetSuite Administrator reports to the Associate Director, IT Applications and is responsible for the administration, configuration, support, enhancement, and overall operational effectiveness of NetSuite and related business applications within a biopharmaceutical manufacturing organization operating in a regulated GMP environment. This role serves as the primary technical support for NetSuite, with responsibility for maintaining system stability, supporting users, configuring and troubleshooting customizations, and partnering with business stakeholders to translate operational needs into scalable, compliant system solutions.

This position requires a seasoned professional with strong hands-on experience in NetSuite administration, SuiteScript, workflows, saved searches, reporting, roles and permissions, and system troubleshooting in a customized environment. The NetSuite Administrator must be capable of working independently, managing multiple priorities, and collaborating closely with internal stakeholders to support business operations while maintaining compliance, documentation, data integrity, and controlled change management.

NetSuite Administration, Configuration, and Technical Ownership

  • Serve as the primary administrator for NetSuite and as a key support resource for other assigned business applications.
  • Administer, configure, and maintain NetSuite, including custom records, fields, forms, workflows, roles, permissions, dashboards, saved searches, KPIs, reports, centers, and other system settings.
  • Design, configure, troubleshoot, and optimize NetSuite workflows and approval processes to support business and compliance requirements.
  • Develop, maintain, troubleshoot, and support NetSuite customizations, including SuiteScript and other platform-specific configurations.
  • Analyze existing customizations and system behavior to identify root causes of issues, assess downstream impacts, and recommend improvements.
  • Investigate and resolve application issues involving configuration, scripts, workflows, permissions, integrations, and master data.
  • Maintain awareness of NetSuite releases, system updates, and platform changes; assess impacts to the business and coordinate required testing and implementation activities.
  • Support sandbox management, testing coordination, and deployment readiness for system changes and releases.

Business Partnership, Requirements, and Solution Design

  • Partner closely with stakeholders across Materials Management, Finance, Manufacturing, Quality, and Procurement to understand business processes, operational challenges, and improvement opportunities.
  • Gather, analyze, and document business, functional, and technical requirements for system enhancements, process changes, reporting needs, and issue resolution.
  • Translate business requirements into technical solutions, system configurations, workflow designs, script requirements, reports, saved searches, or vendor specifications.
  • Evaluate current-state processes and system usage to identify opportunities to improve efficiency, usability, control, compliance, and data quality.
  • Recommend practical, scalable solutions that balance business needs, technical feasibility, regulatory expectations, and long-term maintainability.

Support, Ticket Management, and Issue Resolution

  • Provide day-to-day NetSuite support for users across multiple functional areas, including troubleshooting, issue analysis, defect resolution, and user guidance.
  • Independently manage support requests, system issues, enhancement requests, and operational priorities through ticketing and work management tools such as FreshDesk and Monday.com.
  • Triage tickets based on business impact, urgency, complexity, and compliance risk, escalating issues appropriately when vendor support or additional technical expertise is required.
  • Document issue details, root cause analysis, corrective actions, and resolution outcomes in accordance with internal processes.
  • Coordinate and track support activities, open issues, enhancements, and related follow-up actions through completion.
  • Support and User Access for other smaller enterprise systems, as assigned.

Reporting, Data, and Process Support

  • Develop and maintain saved searches, reports, dashboards, and KPIs to support operational visibility, compliance, and decision-making.
  • Support data imports, data maintenance, mass updates, data cleanup, and data integrity activities related to NetSuite and other assigned applications.
  • Assist in evaluating, supporting, and troubleshooting integrations between NetSuite and related systems, including identifying process breaks, transaction failures, and data flow issues.
  • Support process mapping, gap analysis, and cross-functional solution discussions for ERP-enabled business processes.

Change Control, Validation, and Compliance

  • Support NetSuite and related business systems operating within a regulated GMP environment through disciplined change management, documentation, testing, and audit-ready practices.
  • Participate in and support change control activities for system changes, enhancements, and releases, including impact assessments, documentation, testing coordination, and implementation support.
  • Ensure system changes are appropriately documented, reviewed, tested, approved, and deployed in accordance with approved processes and compliance expectations.
  • Support the creation and maintenance of validation-related documentation, including business requirements, functional specifications, configuration documentation, test scripts, test evidence, traceability support, and implementation records.
  • Maintain documentation and evidence required for inspections, audits, and regulatory readiness.
  • Support compliance with applicable data integrity, security, and controlled documentation requirements for regulated business systems.

Documentation, Training, and Continuous Improvement

  • Develop and maintain clear and complete system documentation, including configuration records, process flows, business requirements, technical requirements, SOPs, work instructions, user guides, and training materials.
  • Provide user training, knowledge transfer, and support to improve effective and compliant use of NetSuite and related reporting tools.
  • Promote consistent, sustainable support practices and contribute to the continuous improvement of business system governance, support processes, and documentation standards.

Vendor and Cross-Functional Coordination

  • Work closely with external consultants, application support vendors, and implementation partners to troubleshoot issues, review proposed solutions, and coordinate enhancement work.
  • Provide clear technical and functional requirements, issue descriptions, test scenarios, and feedback to vendor partners.
  • Review vendor deliverables, proposed configurations, scripts, and changes to ensure alignment with documented business requirements, technical expectations, and compliance needs.
  • Serve as a liaison between business stakeholders, IT, Quality, and external service providers to ensure that solutions are well-defined, well-tested, and appropriately implemented.

II. Minimum Qualification Requirements

  • Bachelor’s degree in Information Technology, Computer Science, Business, Information Systems, or related field, or equivalent combination of education and experience. Graduate degree is preferred.
  • Minimum of 8+ years of experience administering and supporting NetSuite.
  • Strong hands-on experience with NetSuite administration, including custom records, fields, forms, roles, permissions, saved searches, dashboards, reports, and system configuration.
  • Demonstrated experience designing, configuring, troubleshooting, and supporting NetSuite workflows and customizations.
  • Hands-on experience with SuiteScript, including the ability to review, troubleshoot, and modify existing scripts and support development of new script-based solutions.
  • Strong experience investigating and resolving complex system issues involving configuration, workflows, permissions, scripts, integrations, and transaction processing.
  • Experience translating business requirements into functional and technical requirements, system configurations, workflow logic, reporting solutions, and enhancement specifications.
  • Experience supporting NetSuite in a manufacturing, supply chain, or inventory-driven environment, including processes related to procurement, inventory management, work orders, raw materials, and operations.
  • Experience working independently in a fast-paced environment while managing multiple tickets, priorities, enhancement requests, and cross- functional needs.
  • Experience using ticketing and work management tools such as FreshDesk, Monday.com, Jira, or similar platforms.
