We're partnered with an Am Law 100 firm seeking an experienced Legal Administrative Assistant to join its Chicago office in support of the Midwest Commercial Litigation Team. The Legal Administrative Assistant will provide comprehensive administrative and litigation support to attorneys handling complex commercial litigation matters. This role is responsible for managing legal documents, maintaining case files, coordinating attorney schedules, processing court filings, assisting with billing, and ensuring the efficient day-to-day operation of the litigation practice. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while delivering exceptional client service.

REQUIREMENTS

  • 3โ€“5 years of Legal Administrative Assistant experience supporting attorneys in a law firm environment
  • Minimum of 3 years of civil litigation experience, including state and federal court procedures
  • Experience with electronic court filings in both state and federal courts
  • Advanced proficiency with Microsoft Word, Excel, and PowerPoint
  • Experience with NetDocuments (NetDocs) or comparable document management systems preferred
  • Strong organizational, analytical, and multitasking abilities
  • Excellent written and verbal communication skills
  • Professional demeanor with exceptional attention to detail and client service
  • Familiarity with legal billing, time entry, and expense reporting preferred


RESPONSIBILITIES

  • Maintain and organize electronic client and matter files using NetDocuments (NetDocs)
  • Draft, edit, proofread, and format legal documents, correspondence, and pleadings
  • Prepare and electronically file legal documents in state and federal courts
  • Analyze pleadings and court orders while processing docketing requests
  • Manage attorney calendars, schedule meetings, depositions, conference calls, and travel arrangements
  • Process time entries, assist with billing activities, and support accounts receivable functions
  • Prepare expense reports and coordinate attorney reimbursements
  • Open and close client matters, perform conflict checks, and prepare engagement letters
  • Manage incoming mail, correspondence, and other administrative tasks to support the litigation team
  • Provide exceptional administrative support while maintaining accuracy and meeting critical deadlines
