JOB SUMMARY:
The Administrative Assistant Neighborhood Revitalization provides administrative, clerical, and programmatic support to the Neighborhood Revitalization (NR) department, while offering assistance to the Homeownership program. The Administrative Assistant Neighborhood Revitalization serves as a key point of contact for homeowners and program participants, delivering accurate information and guidance regarding home repair services offered by Habitat for Humanity Central Arizona. The Administrative Assistant Neighborhood Revitalization requires strong customer service skills, attention to detail, and the ability to effectively communicate with diverse community members through phone, written correspondence, and in-person interactions.
ESSENTIAL FUNCTIONS:
- Provide administrative and clerical support, including telephone coverage, mail handling, and supply management.
- Respond to Neighborhood Revitalization (NR) and homeownership program inquiries, including assisting walk-in clients with questions and intake processes.
- Maintain, update, and organize all Family Services program materials and client files (both physical and electronic).
- Perform initial review and verification of applicant documentation for program eligibility.
- Enter and manage client data in the NR database and create new client files for program participants.
- Process payments, verify subcontractor invoices, and record documents as required.
- Support program operations by assisting with loan setup, insurance claims, maintenance requests, and prescreen uploads (Calyx Point).
- Assist with outreach efforts, special events, and program-related meetings.
- Maintain familiarity with the organization's service area and target neighborhoods.
- Provide backup support to the Homeownership Administrative Assistant and contribute to special projects as needed.
- Provide corporate receptionist assistance as requested.
- Perform other duties as assigned.
KNOWLEDGE, SKILLS, ABILITIES:
- Proficient in Microsoft Office.
- Possess effective interpersonal skills to effectively work with a variety of people and personalities, including individuals of diverse races, cultures, and economic backgrounds.
- Excellent writing and verbal communications skills.
- Ability to work 40+ hours/week; Evening and Saturday hours when needed.
- Excellent organizational skills and attention to detail a must.
- Ability to work independently and collaboratively.
- Positive personality, attitude, and professionalism.
- Bilingual required (Spanish/English).
EDUCATION, EXPERIENCE:
- Knowledge of Fair housing laws and standards.
- High School Diploma or associate degree (A. A.) or equivalent from two-year college or technical school; or two years or more related experience and/or training; or equivalent combination of education and experience.
PHYSICAL REQUIREMENTS NECESSARY TO PERFORM THIS JOB:
- The ability to sit in a meeting for extended periods of up to three or four hours at a time, as well asintermittent physical activity including bending, reaching, and ability to lift up to 50 pounds.
- The ability to speak and hear in order to give and receive detailed information through verbal communication in person, using the telephone, and/or at community meetings; exchange ideas and convey detailed information accurately to co-workers, volunteers, and others.
- Able to drive to off-site locations; requires a current Arizona driver's license, a clean driving record, auto insurance (certain level of coverage is required to receive mileage reimbursement) and a trustworthy vehicle needed.
WORK ENVIRONMENT AND CONDITIONS:
- The majority of duties are performed in an office setting, performing detailed work sitting at a desk and working on the computer.
- There may be periods of being on an undeveloped or construction site which may be of uneven terrain with exposure to dirt, dust, dampness, construction debris, extreme temperatures, construction noises, fumes, and odors from construction materials.
- There may be times when NR staff may need to assist volunteers with tasks, such as painting the exterior of a home or front yard desert landscape. Desert landscapes include shoveling rock, digging holes, or pushing a loaded wheelbarrow.
