Job Description SUMMARY OF JOB PURPOSEThe Support Services Assistant performs clerical, secretarial, accounting, technical and professional work to support the daily business functions and operations of the Elko County Sheriff's administration office. An employee in this position is recognized under the Labor agreement between Elko County and the Elko County Employees Association (General Unit).ESSENTIAL FUNCTIONSDuties may include, but are not limited to the following: Testifies in court regarding how civil or criminal records are processed, retained, and protected. Processes concealed weapon licenses (CCW)

Processes applications for licenses and work cards. Registers convicted persons and sex offenders. Produces reports for dissemination outside the agency.

Maintains and manages coroner reports. Maintains the evidence vault. Processes civil documents for service within the county.

Process garnishments and garnishment payments. Processes fees accepted for payment of services and licenses. Performs fingerprinting for the public.

Performs data entry and retrieval, and record management. Answers incoming telephone calls. Provides information or routes calls as appropriate.

Receives visitors. Aids or directs them to the correct area. Provides general information and assistance.

Resolves complaints or escalates to the appropriate staff member. Participates, assists, and ensures compliance with the short- and long-term goals and objectives of the department. Formulates and develops recommendations and implements activities designed to accomplish operational goals.

Maintains familiarity with and executes safe work procedures associated with assigned work. Updates the support services manager on work status and important developments they may need to know to function effectively. Represents the department with dignity, integrity, and a spirit of cooperation.

Education and Experience High school diploma or equivalent Previous administrative experience preferred Must maintain a valid Nevada driver's license National Crime Information Center (NCIC) certification Nevada Criminal Justice Information System (NCJIS) certification Knowledge, Skills, and Abilities An employee in this position must have the following knowledge, skills, and abilities upon application:Knowledge Knowledge of the criminal justice system and methods of processing information through the system, law enforcement reporting formats and systems, and state requirements for civil process and dissemination of information. Working knowledge of modern office practices, procedures, and regulations. Working knowledge and correct usage of business English including spelling, grammar, punctuation, vocabulary, and formats.

Working knowledge of business correspondence formats, record keeping, report preparation, filing methods, and records management techniques. Working knowledge of personal computer hardware and software including word processing, spreadsheets, and databases for the purposes of creating, editing, and distributing information. Thorough knowledge of all applicable federal and state laws and regulations, county ordinances and regulations, department rules and regulations, and relevant court rulings.

Skills Demonstrating excellent interpersonal skills especially in dealing with the public. Administering projects and operations effectively. Negotiating as a method of securing support, concurrence, acceptance, or compliance.

Using the tools and equipment listed below. Abilities Interpreting laws, regulations, policies, and procedures regarding the release of information to ensure that operations are in legal compliance. Researching and analyzing information and making sound administrative analyses to solve problems.

Coordinating complex procedures for efficient and effective operations between law enforcement agencies. Collecting, interpreting, and evaluating narrative and statistical data pertaining to policies, goals, and operational matters. Complying with Elko County policies and departmental procedures.

Performing detailed clerical tasks in an accurate, orderly, and timely fashion. Managing multiple deadlines and competing demands successfully. Accomplishing organizational goals and working independently on assignments from beginning to end.

Using tact, discretion, initiative, and considerable independent judgment to manage relationships and situations in which established guidelines exist. Maintaining confidentiality. Solving practical problems and dealing with a variety of variables in situations where standardization exists.

Physical Demands and Working Environment An employee in this position must meet the following physical requirements upon application: Work is performed in an office setting.

Hand-eye coordination is necessary to operate computers and various pieces of office equipment. While performing the duties of this job, the employee is frequently required to talk or hear, sit, use hands to finger, handle, feel or operate objects or controls, and reach with hands and arms. The employee is occasionally required to stand or walk.

The employee must occasionally lift and move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The noise level in the work environment is usually quiet.

Frequent interruption to planned work activities should be expected. Environment is generally clean with limited exposure to conditions such as dust, fumes, noise or odors. Tools and equipment used include a personal computer, printer, scanner, telephone, calculator, copy machine, fax machine, postage machine, and other associated office equipment.
