The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
Functions as a senior project manager, consultant, and implementation partner for organizational wellbeing and improvement initiatives. Leads complex, cross-functional projects that address workplace challenges, improve operational effectiveness, and advance workforce wellbeing. Partners with URMC leaders, stakeholders, and multidisciplinary teams across the institution to identify opportunities, define goals, explore root causes, and develop sustainable solutions. Serves as both a project manager and consultative thought partner by facilitating collaboration, contributing expertise and recommendations, coordinating implementation efforts, and guiding initiatives from problem identification through evaluation. Provides project and program management support for Office of Wellbeing initiatives and services, ensuring alignment with organizational priorities and successful achievement of intended outcomes.
ESSENTIAL FUNCTIONS
  • Leads complex, cross-functional projects and organizational improvement initiatives from planning through implementation. Partners with departmental and institutional leaders to assess operational and workforce wellbeing challenges, identify root causes, evaluate opportunities for improvement, and develop recommendations and implementation strategies informed by organizational best practices with wellbeing fellowship program, collaborative problem-solving program, and wellbeing mini grants program.
  • Coordinates project activities, stakeholders, timelines, milestones, and deliverables while proactively identifying barriers, facilitating solutions, and maintaining momentum toward desired outcomes. (20%)
  • Provides consultation and strategic guidance to leaders and project teams regarding implementation approaches, stakeholder engagement strategies, and sustainable improvement opportunities. (10%)
  • Fosters engagement and accountability, and helps teams navigate challenges, competing priorities, and implementation barriers. Designs and facilitates effective meetings, work sessions, and stakeholder discussions to support decision-making, problem-solving, and progress toward desired outcomes. (10%)
  • Develops and maintains project documentation, dashboards, and reporting tools to communicate progress, evaluate intervention effectiveness, identify trends, and inform decision-making by leaders and stakeholders. (10%)
  • Provides status reports to URMC leadership and governance steering committees, including Department Chairs, Wellbeing Officers, Wellbeing Fellows, and area/unit leaders. Manages project scope and timeline, using appropriate governance bodies and leadership direction. Identifies, tracks, and manages risks and mitigation plans within assigned projects, escalating as appropriate. Manages competing priorities. (10%)
  • Provides program management support for Office of Wellbeing programs and initiatives, including operational planning, participant engagement, communications, evaluation activities, and continuous improvement efforts.
  • Supports the Wellbeing Fellows Program by coordinating program activities, managing timelines and deliverables, facilitating communication with fellows and stakeholders, and supporting program operations and logistics. Serves as a project management resource and implementation partner to Wellbeing Fellows by providing guidance, accountability, and consultation to support project planning, execution, and evaluation.
  • Provides project management, operational, and implementation support for Office of Wellbeing initiatives and special projects. Contributes to program development, problem-solving, and continuous improvement efforts to advance departmental priorities and strategic objectives.
  • Participates as an active member of organizational problem-solving and improvement efforts by contributing expertise, generating solutions, assessing feasibility, evaluating implementation considerations, and supporting leaders in translating identified challenges into actionable interventions. Applies systems thinking and continuous improvement principles to address workplace challenges at their source and improve workforce wellbeing and operational effectiveness.
  • Builds and maintains collaborative relationships with leaders, faculty, staff, and stakeholders across the organization to support project success and advance local and institutional wellbeing priorities. Partners with departments, divisions, and operational support areas to identify opportunities for improvement, facilitate implementation of wellbeing initiatives, and support sustainable changes that address challenges at their source. Serves as a trusted advisor, implementation partner, and resource to leaders working to improve the wellbeing of their teams and work environments.
  • Manages a pre-defined budget. In partnership with departments and key stakeholders (as well as Wellbeing Fellows when and where appropriate), leads meetings to determine needs and provides subsequent guidance. Supports business improvement plans and presentations by determining resource needs, efficiencies, and hurdles. Supports resource development, proposal development, and writing and distribution of materials. Offers project management resources for approved solutions and projects. Drives continuous improvement in project management processes and methodologies. Analyses and assesses project management needs and ensures guidelines and spend parameters are followed.
  • Develops and implements a centralized database of findings related to wellbeing initiatives and projects for the organization.
  • Other duties as assigned.

MINIMUM EDUCATION & EXPERIENCE
  • Bachelor's degree and 5 years of related experience required
  • Master's degree preferred
  • Or equivalent combination of education and experience
  • Experience managing large project budgets and complex resource allocation preferred

KNOWLEDGE, SKILLS AND ABILITIES
  • Extensive computer literacy to include experience in Smartsheet, Teams and Powerpoint required
  • Excellent communication (written and verbal) and stakeholder management skills required
  • Detail-oriented with a proven ability to manage projects required
  • Strong leadership and strategic thinking skills required
  • Effective presentation, analytical, and problem solving skills required

LICENSES AND CERTIFICATIONS
  • Certified Project Management Professional (PMP)-PMI upon hire preferred
