What We Need:

Administrative assistance with scheduling meetings, expenses, drafting industry facing event and artist program recaps.

What You'll Do:

  • Reports to SVP of Artist Relations.
  • Schedules label/ management and internal meetings, maintains calendars, coordinates travel arrangements and processes expenses on behalf of National Programming Group and Artist Relations Executives.
  • Assists with multi-format Music Summit preparation and management including: creating save the dates, label scheduling, distributing invites, and coordinating label presentations.
  • Maintain Artist Relations program trackers including Audio campaigns, AIPs, World Premieres, On the Verge, Takeover Hours, etc. Assembles year-end department impact report.
  • Manages industry contact database on behalf of iHeart.
  • Assists with talent asset outreach as needed. Collects assets and distributes across iHeart and partnering platforms to aid in building out creative in support of national programs and events.
  • Provide detailed recaps for labels following execution of content launches and extended marketing plans.
  • Develop artist profile pitches for clients as needed.
  • Assists with prepping weekly updates, newsletters, industry facing recaps.
  • Assist with creation of supportive promotional materials for artist campaigns as needed. Calculates valuations for all national contesting, editorial features, and social promotions.
  • Manage On The Verge and Titanium Award processes inclusive of identifying artists to be recognized, submitting requests to have the Awards made, draft and send communication on behalf of iHeart team, coordinate messaging across depts (programming, PR, etc). Follow up with each artist's camp to ensure social support.
  • Assist with original content shoots as needed.
  • Assists with pulling social links around tentpole events.
  • Drafts, distributes and orchestrates industry VIP invites and fulfillment at Tentpole Events.
  • Represent iHeartRadio National Artist Relations team at local shows and artist showcases
  • Manage Dept Internship Program

What You'll Need:

  • Exceptional attention to detail with the ability to manage sensitive information, complex schedules, and high-volume communications with accuracy.
  • Proven ability to multitask and effectively prioritize competing demands in a fast-paced, deadline-driven environment.
  • Strong organizational and project management skills, with the ability to anticipate needs and proactively solve problems.
  • Excellent written and verbal communication skills, with a professional and polished demeanor when interacting with artists, management teams, executives, and external partners.
  • Demonstrated professionalism and poise in working with artists, talent representatives, and senior industry stakeholders.
  • Ability to handle sensitive talent and executive relationships with discretion, diplomacy, and confidentiality.
  • Demonstrated experience supporting senior-level executives, preferably within entertainment, music, media, or a related industry.
  • Strong relationship-building skills and a customer-service mindset, with the ability to work effectively across all levels of an organization.
  • High proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), Canva and calendar management tools.
  • Ability to adapt quickly to changing priorities and remain calm under pressure.
  • Bachelor's degree or equivalent relevant work experience preferred.
