Purchasing Coordinator
Department: Purchasing
Location: Spring Hill, TN
The Purchasing Coordinator is responsible for day-to-day purchasing activities, ensuring timely delivery of materials, compliance with specifications, and containment of costs. All activities are coordinated with the Sr. Purchasing Manager. All prescribed duties are conducted in compliance with approved Purchasing Department procedures.
Main Duties amp; Responsibilities
  • Assists Category Manager/ Category Specialist in day-to-day tasks;
  • Obtains supplier confirmation of compliance with specifications, delivery schedule, price and terms;
  • Prepares purchase orders and obtains approval according to established signature authority levels;
  • Places purchase orders and obtains written supplier acknowledgement of all purchasing terms with prescribed deadlines;
  • Communicates to the appropriate personnel about confirmed deliveries and exceptions for outstanding purchases to internal customers;
  • Monitors outstanding purchase orders and ensures suppliers meet scheduled delivery commitments;
  • Coordinate rush orders with suppliers as needed;
  • Establish trust and build effective business relationships with suppliers and internal stakeholders for short and long term relationships;
  • Drive continuous improvement efforts in purchasing and help develop best practice process documentation;
  • Manages freight claims to ensure timely filing and disposition with third-party logistics services or directly with carriers as dictated how services were contracted;
  • Works in conjunction with Category Manager and coordinates the return or disposal of rejected materials (RMAs), ensuring Accounting Department is notified of all cost related events;
  • Participate in weekly team meetings and supplier business reviews when necessary;
  • Handles requests on raw/packaging materials from other departments in a timely manner;
  • Espouses a positive and productive work environment;
  • Demonstrates professionalism in all interactions with others;
  • Stays abreast of trends and advances applicable to commodity responsibilities;
  • Follow cGMP guidelines and processes as established in department SOPs;
  • Perform other duties as deemed necessary.
Requirements and Skills
  • High school diploma or GED required, Bachelor’s degree in business, operations or technical field, or relevant and applicable work experience preferred;
  • 3-5 years purchasing experience;
  • Good communication skills, internal and external;
  • Customer Service oriented;
  • Analytical and good math skills;
  • Take charge attitude and initiative;
  • Effective negotiating skills;
  • Life/career experience that demonstrates attainment of goals and effectiveness in problem solving;
  • Basic understanding of terms and conditions;
  • Familiarity with industry current good manufacturing practice requirements;
  • Intermediate use of MS Office;
  • Attention to detail;
  • Able to aggregate information into a summary presentation for management review;
  • Experience with ERP systems data input and navigation preferred,
  • Ability to sit and stand for extended hours;
  • Ability to view a computer screen and type for extended hours;
  • Work environment is normally in an office setting. Must be able to make occasional rounds in a warehouse environment;
  • Ability to work around a variation of different smells and aromas;
  • Other physical requirements include occasional squatting, bending, twisting, and bi-lateral hand and wrist movement;
  • Ability to adjust work schedule as business needs require.
