THE ROLE
Insomniac Events is looking for a Project Coordinator to join the Design team in Calabasas. This person will help to organize all project activities in cooperation with and under the direction of the Project Management team, aiming at assisting with the flawless execution of projects and intuitive organization of resources.
The Project Coordinator will work alongside the project management team to track and dispense all of the information the various team members need to do their jobs effectively. This position will assist the project management team by collaborating with cross-functional members of the team to keep all design projects for their assignments on track and organized. The Project Coordinator will also focus on managing and organizing resources within Asana, Dropbox, and etc. and any information that is vital to the success of projects. This position reports to Project Management leadership. This is not a remote position.
RESPONSIBILITIES
  • Assist with maintaining day-to-day flow of design projects in production for all festivals and branded shows; document changes and revisions to projects as required
  • Interface with extended cross-functional team including but not limited to: marketing, media, video, internal talent booking, internal PR, merchandise, design, product, development, production, & social teams
  • Delegate tasks to team members via the internal project management system (Asana) and upon coordination with the Project and Creative Managers
  • Assist with Asana scrubbing and organizing and breaking out tickets
  • Evaluate project overview and familiarize oneself with budgets, timelines, scope of work, possible risks, design, stakeholders, and delivery expectations.
  • Monitor creative development, troubleshoot, create contingency plans and revise schedules as necessary
  • Participate in standup meetings and send daily updates to stakeholders and team members to ensure projects are running smoothly and risks are mitigated
  • Route and secure approvals on all communication materials at each stage of creative development as required
  • Ensure any copy or presentations are proofread at appropriate stages prior to release on all assets
  • Assist PM team with developing timelines and set due dates for various stages of job completion after consulting with marketing directors/managers, design and development for timing requirements
  • Coordinate and schedule kick-off meetings with all appropriate team members to account for accurate information prior to assigning to design/production team
  • QA design and/or development edits prior to routing to necessary team members
  • Upon project completion, effectively organize and archive projects, with all relevant layouts, artwork, reporting and communication details
  • Use personal vehicle to travel to business engagements; may travel out of town on business
  • May be required to attend and works company events (domestic/international travel expected) once full time employee
  • Work evening and weekend hours as needed to meet deadlines and works effectively under high level of pressure and demanding timelines
  • Assist with other duties as assigned on a regular or occasional basis

QUALIFICATIONS
  • 2+ years of experience working within an interactive agency, ideally in Music Festival Marketing or related Entertainment Industry experience
  • Working knowledge of design, print, web, video, rich media, and social media platforms
  • Proficiency in project management tools (i.e., MS Project, ASANA, JIRA, Basecamp)
  • Excellent reporting skills
  • Keen ability to work on a variety of projects at various stages and scopes
  • Able to work in a fast-paced environment, juggling multiple projects
  • Excellent communication skills: both in person and digital/online platforms
  • Demonstrated experience managing time, cost, risk, quality, resources, assets, and changing requirements
  • Proficiency in MAC/PC
  • Well versed in Microsoft Office Suite and Google docs
  • Passion for Electronic Dance Music a must

WORK ENVIRONMENT
  • Must be able to tolerate loud noise levels & busy environments
  • Must be willing to frequently work and travel to events during evening and weekend hours, as required, to meet deadlines and work events

Hiring Hourly Rate: $20.00 - $27.00 USD per hour
