Help manage daily office operations and administrative procedures
Maintain organized filing systems, paperwork, and office records
Support office staff by assigning and monitoring administrative tasks
Help develop and improve office procedures and systems
HR; Oversee employee onboarding, HR paperwork, payroll support, and recordkeeping
Help oversee OSHA and audit-related paperwork and compliance
Make sure insurance Workers Comp, Health, Liability are up to date annually. Make sure customers get COI’s in a timely manner
Manage customer and vendor communications and relationships
Create and update customer databases and records
Support sales staff with invoicing and customer service tasks
Prepare presentations and documents using Microsoft Office and PowerPoint
Fill in and assist with office duties when team members are absent
Help maintain a positive and productive office environment
Regular Schedule is:
Monday, Tuesday, Wednesday,Thursday 7:00 am- 2:00 pm
Fridays 7:00-Noon or until the work is completed
In the beginning, training requires some earlier shifts starting at 6:00 AM. Workdays may extend until daily tasks are completed.
Required Qualifications-Great Attitude!
2+ years in office management, office assistant, or administrative experience.
Strong computer skills, including Microsoft Office, Google Sheets, QuickBooks, data entry, and ERP systems
Knowledge of HR practices and office administration
Excellent written and verbal communication skills
Strong organizational and time-management skills
Accuracy and attention to detail
Ability to multitask and work independently
Bi-lingual Spanish Speaking
Strong customer communication skills
Experience implementing new software systems
Friendly positive outlook and team orientated attitude.
