Description

Summary 

The Practice Manager is responsible for the day-to-day operational management of assigned clinic location(s) within Barrow Brain and Spine. This role ensures efficient clinical operations, excellent patient experience, strong staff performance, and adherence to organizational policies and regulatory requirements.  The Practice Manager serves as the on-site operational leader and works closely with physicians, executive leadership, and department directors to achieve performance, quality, and service goals consistent with the standards of a high-performing, physician-owned specialty practice. Regular travel between practice locations required (approximately 25-60%).

Requirements

Key Responsibilities

Operational Management

  • Oversee daily operations of assigned clinic location(s) to ensure efficient patient flow, provider productivity, and high-quality service.
  • Implement and enforce organizational policies, procedures, and operational standards.
  • Monitor clinic performance metrics including volume, access, utilization, and staffing levels.
  • Identify operational issues and develop solutions to improve efficiency and patient experience.
  • Coordinate with centralized departments including Revenue Cycle, HR, IT, Compliance, and Quality.

Staff Leadership & Supervision

  • Directly supervise clinic supervisors, leads, and support staff.
  • Responsible for hiring, training, coaching, and performance management.
  • Maintain appropriate staffing levels to support provider schedules and patient demand.
  • Address employee relations issues in partnership with Human Resources.
  • Foster a culture of accountability, professionalism, and service excellence.

Physician Support & Practice Coordination

  • Partner with physicians to support clinic operations, scheduling, and workflow.
  • Ensure provider templates are optimized for access and productivity.
  • Assist with onboarding of new providers.
  • Serve as primary operational contact for physicians at assigned location(s).

Financial & Performance Oversight

  • Monitor clinic budgets, staffing ratios, and expense management.
  • Review productivity, overtime, and resource utilization.
  • Support initiatives to improve revenue capture and reduce operational waste.
  • Assist leadership with implementation of strategic initiatives.

Patient Experience & Service Excellence

  • Ensure high standards for patient satisfaction and service delivery.
  • Address patient concerns and resolve complaints in a timely and professional manner.
  • Maintain a professional, organized, and patient-centered clinic environment.

Compliance & Regulatory Oversight

  • Ensure compliance with HIPAA, OSHA, CMS, and other regulatory requirements.
  • Maintain readiness for audits, inspections, and accreditation reviews.
  • Enforce organizational policies related to documentation, privacy, and safety.

Process Improvement & Growth Support

  • Participate in operational improvement initiatives.
  • Support new  clinic openings, provider additions, and service expansions.
  • Assist leadership with implementation of new workflows, systems, and programs.
Requirements Qualifications
  • Bachelor's degree in healthcare administration, Business, or related field preferred.
  • Minimum 5 years of healthcare operations with multi-site experience required.
  • Minimum 3 years of leadership experience in a medical practice or hospital setting.
  • Experience in multi-provider specialty practice is strongly preferred.
  • Strong knowledge of clinic operations, scheduling, staffing, and workflow management.
  • Ability to work effectively with physicians and executive leadership.
  • Strong organizational, communication, and problem-solving skills.
