As the first point of contact for our patients and visitors, you will play a vital role in creating a welcoming, efficient, and compassionate environment.

What You’ll Do (Key Responsibilities)

  • Patient Welcoming & Front Desk Operations
  • First Impressions: Greet and direct patients and visitors with a friendly, courteous, and professional demeanor.
  • Inbound Communication: Promptly answer, transfer, and manage phone calls with strict respect for patient confidentiality. Review overnight messages every morning and route them to the correct staff.
  • Scheduling & Logistics: Coordinate appointments, meetings, and room schedules. Maintain the visitor sign-in sheets, vehicle appointment logs, and confirmation call lists.
  • Mail Distribution: Bring in daily mail from the mailbox and distribute it to appropriate departments.
  • Admissions & Clinical Support
  • Care Coordination: Work hand-in-hand with our admissions office and clinical teams to keep communication lines open and seamless.
  • Paperwork & Workflow: Print, prepare, and organize daily admission paperwork trays (including appointment preparation reports and face sheets) for our financial counselors.
  • Specialized Routing: Seamlessly route time-sensitive tasks, such as transferring prescription refill requests directly to the nurse’s dedicated voicemail script line (Ext. 5055) and notifying admissions staff immediately of initial EAP no-shows.
  • Digital Systems: Check the patient portal for messages and completed paperwork, enter Release of Information (ROI) authorizations, and log patient outcomes (Treatment Alliance Scale) into our Electronic Medical Record (EMR) system.
  • Financial Verification & Data Integrity
  • Check-In Compliance: Verify and update patient demographic and PCP information at every check-in.
  • Eligibility Tracking: Perform Medicare Secondary Payer (MSP) financial eligibility verifications within the Avatar system every 75 days.
  • Payment Processing: Accurately receipt patient payments at the front desk.
