Dunwoody Village - Newtown Square, PA

We are seeking an organized, customer-focused, and service-oriented Move-In Coordinator to oversee and coordinate all aspects of the resident move-in experience.

Position Summary
The Move-In Coordinator is responsible for organizing, tracking, and facilitating all aspects of the resident move-in process from contract execution through successful transition into the community. This role serves as the primary point of contact for incoming residents and works collaboratively with internal departments, contractors, vendors, and residents to ensure a seamless, welcoming, and well-coordinated move-in experience.
The ideal candidate is highly organized, detail-oriented, customer-service driven, and experienced in coordinating multiple projects while maintaining strong communication and follow-through.
Key Responsibilities
Move-In Coordination & Project Management
  • Coordinate and oversee the resident move-in process from pre-move planning through post-move follow-up
  • Organize and track move-in timelines, milestones, and renovation schedules
  • Maintain accurate spreadsheets and tracking systems for all move-in activities
  • Coordinate move-out inspections and pre-move meetings with incoming residents
  • Ensure all required documentation and approvals are completed timely and accurately

Resident Communication & Support
  • Serve as the primary point of contact for incoming residents throughout the move-in process
  • Communicate move-in timelines, expectations, and next steps clearly and professionally
  • Provide a welcoming and supportive experience for residents and families
  • Greet residents upon arrival and assist with move-in day coordination
  • Conduct follow-up communication within 24-48 hours after move-in to address questions or concerns

Interdepartmental Coordination
  • Collaborate with operations, housekeeping, dining services, security, accounting, administration, and resident services teams to ensure smooth move-in transitions
  • Coordinate final inspections and readiness reviews prior to move-in
  • Communicate renovation completion dates and move-in schedules to all relevant departments
  • Partner with contractors, vendors, and internal teams to coordinate approved renovation work

Resident Orientation & Community Integration
  • Coordinate orientation meetings with Resident Services following move-in
  • Assist with identifying resident integration needs, including social or support services
  • Support a positive resident onboarding experience into the Dunwoody Village community

Marketing & Community Support
  • Serve as backup support for prospective resident tours
  • Participate in marketing programs, events, and community initiatives
  • Ensure resident-facing materials and informational resources remain updated and available

Qualifications
Required
  • Minimum of 3 years of experience in senior living, hospitality, property management, or related customer service environments
  • Strong organizational, multitasking, and project coordination abilities
  • Excellent communication and interpersonal skills
  • Strong customer service and relationship-building skills
  • Proficiency with spreadsheets, scheduling tools, and administrative systems
  • Ability to work collaboratively with multiple departments and stakeholders

Preferred
  • Experience working in a Continuing Care Retirement Community (CCRC)
  • Experience coordinating renovations, move-ins, or resident transitions
  • Experience supporting older adults or senior living communities

Physical Requirements
This position may require:
  • Sitting, standing, and walking throughout the workday
  • Occasional lifting and movement of materials or supplies
  • Ability to travel throughout the campus to support residents and departments
