What does a move in coordinator do?

A Move In Coordinator is responsible for managing and facilitating the process of new tenants or residents moving into a property. They coordinate logistics such as scheduling move-in dates, conducting walkthroughs, preparing necessary documentation, and ensuring that units are ready and compliant with leasing standards. Additionally, Move In Coordinators often serve as the primary point of contact for new residents, addressing questions and providing them with important information about their new home. Their goal is to ensure a smooth and positive transition for everyone involved.

What are the key skills and qualifications needed to thrive as a move in coordinator, and why are they important?

To thrive as a Move In Coordinator, you need strong organizational skills, attention to detail, and experience in property management or customer service, often supported by a high school diploma or equivalent. Familiarity with property management software, scheduling tools, and CRM systems is typically required. Excellent communication, problem-solving abilities, and a customer-centric attitude help you effectively manage tenant expectations and resolve issues. These skills ensure smooth transitions for new residents, enhance tenant satisfaction, and contribute to efficient property operations.

What are the main challenges a move in coordinator faces when managing multiple tenant move-ins simultaneously?

Move In Coordinators often juggle multiple move-ins at once, which can be challenging due to overlapping schedules, varying tenant needs, and coordination with maintenance, leasing, and cleaning teams. Effective communication, strong organizational skills, and the ability to quickly problem-solve are crucial to ensure a smooth transition for each new resident. Being proactive in addressing potential issues, such as last-minute repairs or documentation delays, helps minimize disruptions and maintains a positive move-in experience for all parties involved.

Job description

Program Coordinator

General Tool Company | Manufacturing | Full-Time

At GTC, we don’t just make things — we make things happen. We’re a fast-moving, precision-focused manufacturing company where every team member plays a critical role in delivering excellence. We’re looking for a sharp, detail-obsessed Program Coordinator who thrives at the intersection of operations, communication, and execution. If you love bringing order to complexity and keeping teams locked in, read on.

You’re Not Just an Employee. You’re an Owner.

We believe that everyone who helps build this company should share in its success. That’s why we created Ownership For All — giving every eligible full-time employee an ownership stake in the business. From day one, you’re not just joining a team — you’re becoming an owner. At GTC, your wins aren’t just good for the company. They’re good for you.

What You’ll Own

You’ll be the operational backbone of our program team — the person who makes sure nothing slips through the cracks and everyone has what they need to succeed.

  • Keep materials moving — manage job router releases with precision to keep production sequences on track
  • Verify material certifications and maintain heat lot tracking documentation before parts hit the floor
  • Spot and communicate shortages or errors in raw materials and purchased items before they become problems
  • Partner with Production Control Coordinators to ensure seamless, on-time part and material flow
  • Walk the plant daily — assess, update, and own project status tools and reports
  • Monitor and report on production goals set by the program team
  • Represent the program team in cross-departmental meetings and keep shared resources aligned
  • Proactively flag anything that could disrupt production — and bring solutions, not just problems
  • Review routers at close-out to confirm all documentation meets contract requirements
  • Ensure purchased materials and outside services align with shop schedules and delivery commitments
  • Step up as project lead on specifically assigned projects when called upon

What You Bring to the Table

You’re the kind of person who spots the gap before it becomes a problem. You communicate clearly, move fast, and don’t need to be reminded twice.

  • High school diploma or GED required; associate degree or higher in a technical, business, or project management field is a bonus
  • 3+ years of experience in a manufacturing environment doing similar work
  • 3+ years in a defense, aerospace, or other highly regulated industry — big plus
  • Advanced proficiency in Microsoft Word and Excel; working knowledge of PowerPoint and Project
  • Experience with ERP or MRP systems is a real advantage
  • Exceptional communicator — written and verbal — with the interpersonal skills to match
  • Collaborative team player who also knows how to self-direct
  • Strong organizational instincts and time management that others rely on
  • Adaptable by nature — you can pivot when priorities shift without losing momentum

Why GTC?

  • Ownership For All — you’re a stakeholder from day one
  • Work that matters — we manufacture products for some of the most demanding industries in the world
  • A team that’s invested in your growth, not just your output
  • A culture built on precision, trust, and getting things done

Equal Opportunity Employer M/F/D/V

All applicants will be considered based upon experience and knowledge, without regard to race, color, religion, national origin, sexual orientation, ancestry, marital, disabled, or veteran status. GTC is committed to creating and maintaining a workforce environment free from any form of discrimination or harassment.
