The Guest Experience Coordinator plays a key role in creating home-like experiences for business travelers and relocating professionals by ensuring corporate apartments are fully prepared, welcoming, and supported throughout each guest’s stay. This hands-on position blends guest-facing service with operational responsibilities, including apartment setup, inspections, inventory management, and vendor coordination. The role suits someone who enjoys a fast-paced environment, takes pride in first impressions, and feels comfortable working independently in the field while maintaining strong communication with guests and internal teams.

Responsibilities
  • Serve as the primary local point of contact for guests throughout their stay, building trust and ensuring a positive experience.
  • Deliver prompt, courteous, and solutions-focused customer service in response to guest requests, concerns, and service needs.
  • Personalize and coordinate move-in welcome gifts to create a warm and memorable first impression.
  • Assist residents with apartment-related issues and facilitate timely resolutions by coordinating with internal teams and vendors.
  • Travel locally as needed to deliver items, address concerns on-site, and support resident needs in person.
  • Ensure smooth, professional move-in and move-out experiences by managing logistics and communication with guests.
  • Conduct pre-move-in walkthroughs to assess apartment condition, readiness, and alignment with company standards.
  • Perform post-move-out walkthroughs to evaluate apartment condition and identify any damages or issues requiring attention.
  • Carry out final inspections to verify cleanliness, functionality of appliances and fixtures, and adherence to quality standards.
  • Identify, document, and escalate damages, maintenance concerns, or operational issues to the appropriate teams.
  • Verify that all required furniture, housewares, and amenities are present, functional, and arranged according to standards.
  • Maintain apartment quality standards and ensure all units are guest-ready according to scheduled arrival dates.
  • Transport, install, and arrange housewares and light furniture as needed to prepare apartments for occupancy.
  • Assist with apartment setups and tear-downs, following company guidelines for layout, presentation, and inventory placement.
  • Conduct inventory audits and maintain accurate inventory levels for housewares, welcome items, and operational supplies.
  • Purchase and restock inventory as directed, ensuring timely availability of required items.
  • Quickly identify and resolve setup deficiencies, missing items, and minor apartment issues before guest arrival.
  • Maintain key and lockbox inventory and ensure compliance with access-control procedures and security protocols.
  • Coordinate furniture deliveries, service appointments, installations, and pickups with external vendors.
  • Track and manage project timelines to ensure apartments are ready for occupancy by scheduled dates.
  • Follow established key control and apartment access procedures to protect guest privacy and property security.
  • Collaborate with internal teams and external vendors to resolve operational challenges efficiently and professionally.
  • Maintain accurate records related to inspections, inventory, apartment readiness, and guest support activities.
  • Balance guest interactions, apartment inspections, and field operations to support both service and operational goals.
  • Demonstrate flexibility in adapting to schedule changes and evolving priorities common in corporate housing.

Essential Skills

Pay and Benefits
