ABOUT THE ROLE
Valley Prefab is looking for a detail-oriented and highly organized Administrative Coordinator to support the daily operations of our growing prefabrication facility. This position serves as a key connection between the shop, project management, accounting, and operations by ensuring project documentation, billing, and reporting are completed accurately and on time.
The ideal candidate enjoys working in a fast-paced environment, takes pride in organization, and understands that accuracy and communication are critical to keeping projects moving.
WHAT YOU'LL DO
Accounting & Billing
  • Process Accounts Payable (AP) invoices accurately and timely.
  • Prepare and submit project billings.
  • Generate and process internal project invoices.
  • Maintain accurate billing records and support month-end reporting.

Project Administration
  • Upload production information into the appropriate systems.
  • Maintain project documentation and administrative records.
  • Coordinate with Project Managers and Production to ensure documentation is complete and current.

Reporting & Inventory Support
  • Prepare and distribute monthly warehouse reports.
  • Assist with inventory, receiving and material tracking documentation and reporting.

Administrative Support
  • Maintain organized electronic and physical project files.
  • Coordinate with Accounting, Purchasing, Production, and Project Management to resolve administrative issues.
  • Assist with process improvements and development of administrative procedures.
  • Provide general administrative support for the facility.

WHO YOU ARE
  • Previous administrative, accounting, project coordination, or construction office experience preferred.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Proficient in Microsoft Office, particularly Excel.
  • Comfortable learning ERP, accounting, and production management software.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Self-motivated with the ability to work independently and as part of a team.
