Job description

We are looking for a Service Cooordinator / Receptionist who dispatches with precision, invoices without error, and keeps every customer call, service order, and parts request moving without a missed beat.

WHERE DETAILS MAKE A MISSION-CRITICAL IMPACT.

THE TECHNICIAN SHOWS UP READY.

That's because of the work you did before they left.

DuraServ is looking for a Service Coordinator who dispatches with precision, invoices without error, and keeps every customer call, service order, and parts request moving without a missed beat.

This Role Is the Operational Nerve Center of the Branch.

DuraServ's field technicians keep commercial dock and door systems running for warehouses, distribution centers, and industrial facilities across the country. But before a technician ever arrives on site, a Service Coordinator has already taken the call, created the service order, confirmed the parts, dispatched the right person, and set the customer's expectation correctly. After the call closes, the Service Coordinator has invoiced accurately and filed every record clean.

This is not a passive administrative role. It's an active coordination function that connects customers, technicians, parts suppliers, and management into a single, seamless service experience. Every missed detail has a downstream consequence. Every detail handled correctly keeps the branch running the way it's supposed to.

If you thrive in a fast-paced environment where accuracy matters and no two days look the same — this is your kind of role.

What You'll Do

Customer & Communication

  • Answer inbound calls and email communications — providing responsive, professional support and direction on customer inquiries, returning calls promptly without letting anything fall through
  • Review incoming sales and service leads, coordinating delegation to the appropriate person efficiently and without delay
  • Serve as a professional point of contact for internal and external customers across every interaction — your tone, your accuracy, and your follow-through represent DuraServ

Dispatch & Coordination

  • Schedule and dispatch service calls effectively — matching the right technician to the right job with the right information at the right time
  • Accurately prepare service orders by creating entries in the system of record, working closely with management and technicians to ensure every work order is complete, correct, and timely
  • Order parts as needed for service work and maintain accurate records related to all parts orders — nothing waits because a part wasn't ordered

Administration & Accuracy

  • Invoice service work and planned maintenance accurately and on time — every charge correct, every invoice complete before it goes out
  • Post vendor invoices for Accounts Payable with the same attention to detail you apply to outbound billing
  • Process customer credit card payments promptly, ensuring records are secure and filed appropriately
  • Conduct warehouse-related duties as assigned and support additional office functions directed by the Operations Manager or Division Vice President

Who You Are

You don't let things sit. A call comes in — you handle it. A service order needs to be created — you create it correctly. A part needs to be ordered — you order it before it becomes a problem.

  • Organized by instinct — you manage multiple service orders, parts requests, dispatches, and communications simultaneously without losing accuracy on any of them
  • Responsive and professional — you return calls promptly, communicate clearly with customers and technicians, and always represent DuraServ the right way
  • Detail-oriented where it matters — invoicing errors, parts miscommunications, and misfiled records create downstream problems; you're the person who prevents them
  • Comfortable in a fast-paced environment — priorities shift, calls stack up, and urgency is the baseline; you don't need calm to be effective
  • Administratively fluent — you know your way around Microsoft Office (Word, Excel, Outlook), pick up new systems quickly, and maintain records that hold up to scrutiny
  • A team anchor — the technicians, the operations manager, and the customers all depend on you to be accurate, available, and professional; you take that responsibility seriously

What We're Looking For

Required

  • High School diploma or equivalent
  • Proficiency with Microsoft Office — Word, Excel, and Outlook are daily tools in this role
  • Strong organizational and communication skills — you manage multiple priorities simultaneously without losing quality on any of them
  • Ability to work in a fast-paced, high-volume environment where responsiveness and accuracy are equally non-negotiable

Preferred

  • 1–3 years of experience in a service coordination, dispatch, administrative, or operations support role
  • Experience with work order management, invoicing, or service administration in a field service or similar environment
  • Background in the commercial dock and door, mechanical services, or industrial services industry is a meaningful advantage

What's in It for You
  • Competitive compensation commensurate with experience
  • Full benefits package: medical, dental, vision, and 401K with company match
  • Company-provided life insurance, short-term and long-term disability
  • A role where your work has immediate, visible impact on the branch and the customers it serves
  • A stable, office-based environment at a company that invests in the people who keep operations running
  • A path to growth within branch operations for high performers who want to take on more responsibility

A Note to the Right Candidate.

If you've been in a coordination or administrative role where you were the person everyone relied on to keep things moving — where your accuracy prevented problems and your responsiveness kept customers satisfied — you already understand what this job requires.

DuraServ's Service Coordinators are the reason the technicians show up prepared, the customers stay informed, and the branch closes its service orders clean. That's not a small contribution — it's the foundation everything else is built on.

Where details make a mission-critical impact. Every day. That's this role.

APPLY NOW — Precision Coordinators Wanted.

Hit Apply. Tell us what coordination or administrative function you've supported and how you keep everything accurate when the pace picks up.

Please note: This is NOT a remote or hybrid role. On-site presence at the branch is required.
