Job description

General Summary

Examines and ensures that information is complete and consistent on daily time sheets turned in by service crews. Keying daily time sheets into the General Fund Enterprise Business System (GFEBS) and Maximo. Receives, records and distributes work orders to service crews upon customer’s requests for service. Records information such as name, address, and article to be repaired or service to be rendered. Prepares work order and distributes to service crew. Maintains a record of service calls and work orders.

Essential Duties and Responsibilities

  • Dispatch orders and relay messages and special instructions to mobile crews and other departments using radio equipment or telephone
  • Uses sound judgment to screen and correct, if necessary, time sheets after they are keyed.
  • Responsible for accuracy and changes to the company’s employee roster within GFEBS and Maximo
  • Works jointly with other administrative roles to ensure synchronization between both contractors and governments reporting systems.
  • Assists in a variety of administrative responsibilities

Other duties/tasks as assigned.

Knowledge, Experience and Skill Requirements

  • Must be able to obtain and maintain a security clearance
  • Be a self-starter and have proficient typing skills.
  • Basic math and telephone etiquette skills
  • Comprehensive knowledge of Microsoft and associated Suite programs, (Word and Excel, Powerpoint, Outlook, etc.)
  • Must have an insurable driving record and a valid driver’s license.
  • Ability to read and write English.
  • Must possess or be able to obtain a NACI (National Agency Check with Inquiries) and be able to obtain access to Ft. Huachuca, AZ.
  • Must Maintain or gain Forklift certification within 30 days of employment.

Work Experience

2 years experience in administrative assistance.
