Job description
Reporting to the Director of the Congregational Leadership Certificate Program, the Program Success Coordinator is responsible for ensuring that every participant, cohort, church, instructor, and association successfully progresses through the program. This person nurtures partnerships to maintain a high-touch relationship with congregations through conferences, a cohort learning model, and statewide workshops. The coordinator ensures the successful delivery of all participant-facing services by coordinating admissions, cohort engagement, learning support, communications, events, and program logistics. The Program Success Coordinator is responsible for creating an exceptional participant experience from initial inquiry through certificate completion. Working closely with the Program Director, Director of Donor Relations and Strategic Partnerships, Communications and Marketing Specialists, and congregational social network leaders, this position supports the implementation of theological education, leadership development, congregational assessment, and ministry formation initiatives while maintaining the school's commitment to excellence in serving congregational social networks and their leaders.
Essential Job Functions:
• Serve as the primary point of contact for prospective students, participants, congregational leaders, and association representatives.
• Guide participants through inquiry, registration, enrollment, orientation, course completion, and certificate awarding.
• Coordinate the formation and onboarding of congregational cohorts.
• Monitor participant engagement and follow up with individuals who need additional support.
• Track participant progress through workshops, certificate programs, and the Ministry Formation Clinic.
• Foster a welcoming and supportive learning environment that promotes participant retention and successful completion.
• Maintain ongoing communication with pastors, church administrators, cohort facilitators, and denominational partners.
• Coordinate scheduling and communications for cohort meetings, workshops, and training sessions.
• Assist congregations in implementing cohort activities and assessment schedules.
• Support alumni engagement and continued participation in certificate program activities.
• Coordinate logistics for workshops, retreats, webinars, conferences, and graduation ceremonies.
• Prepare participant materials and learning resources.
• Coordinate meeting schedules, facilities, catering, travel arrangements, and virtual meeting platforms.
• Support instructors during educational events to ensure smooth program delivery.
• Provide on-site coordination during conferences and major Institute events.
• Maintain accurate participant, cohort, and program records.
• Collect attendance records, workshop evaluations, and participant feedback.
• Compile enrollment, completion, and engagement statistics.
• Prepare reports and dashboards for the Program Manager.
• Support continuous improvement initiatives by documenting participant experiences and program outcomes.
• Other related duties as assigned.

Minimum Job Qualifications
Required Education and/or Experience
• DMIN or PhD or ABD in fields related to religion, theology, biblical studies, ministry, church administration, and church history.
• 3-5 years of experience in higher education leadership and the local Black Church leadership
• Demonstrated interpersonal and organizational skills
• Demonstrated proficiency in proposal and report writing.
• Knowledgeable of the field of Black Church studies
• Knowledgeable of emerging trends in the religious landscape in America.
• Legally operate an automobile in the State of North Carolina, valid driver's license.
• Familiarity with the characteristics of a private, religious-affiliated liberal arts university is desired.
