Job description

Overview:

Midtown Montessori Academy is seeking a full-time Assistant Director & Office Manager to join our team of dedicated educators who share a love and respect for children. This dynamic role serves as the first point of contact at the front desk, provides essential assistant director-level support, and oversees all afterschool programming, including after school care, enrichment classes, and summer camp (if applicable at your campus). The ideal candidate will be organized, proactive, and passionate about building a positive and engaging experience for students, staff, and families alike.


About Us:

Midtown Montessori Academy was founded in 2018 to provide an authentic Montessori education for children from infancy through sixth grade. We believe each child deserves the opportunity to explore their own educational path, led by what piques their individual curiosity, instead of a traditional dictation-based education method.


Reports to: Campus Director
Classification: Full-time, Exempt
Schedule: Mondayโ€“Friday, 8:30amโ€“5:30pm
Salary Range: $50,000 โ€“ $68,000 per year, based on experience

Responsibilities include, but are not limited to:
  • Office Management & Front Desk Operations
    • Greet families, staff, and visitors warmly and professionally
    • Answer phones, check and return messages, receive packages
    • Maintain the daily visitor log and ensure front desk security protocols are followed
    • Monitor student attendance and follow up on absences
    • Support general campus operations as needed
    • Coordinate communication with student services providers (OT/PT/Speech, etc.)
    • Maintain and update student files, including immunization records
  • Administrative Support
    • Serve as a key support to the Campus Director
    • Assist in operational tasks related to enrollment, re-enrollment, and campus logistics
    • Pull monthly classroom photos from Transparent Classroom for use in school newsletters
    • Assist with preparation and execution of campus events (seasonal events, parent eds, etc.)
    • Provide occasional sub or float support when necessary (with prior arrangements for front desk coverage)
  • Campus Supplies & Inventory
    • Keep copier machines stocked with paper and ink; order replacements as needed
    • Monitor and restock office supplies as needed, collaborating with the Campus Director before finalizing any orders.
    • Receive, organize, and put away all supply deliveries promptly
  • Auxiliary Programs Oversight
    • After School Program:

      • Schedule, staff, and manage all aspects of aftercare

      • Ensure ratios, licensing, and safety requirements are maintained

      • Communicate regularly with families about programming details

    • Enrichment Classes:

      • Organize and manage logistics for extracurricular classes (vendors, registrations, scheduling, communication)

      • Maintain relationships with instructors and gather family feedback

    • Summer Camp (if applicable):

      • Plan and coordinate summer camp sessions including staffing, enrollment, scheduling, and materials

      • Communicate camp programming clearly to families and support staff needs

      • Ensure all licensing and regulatory guidelines are met during camps


The Ideal Candidate:
  • Previous Montessori and/or school administration experience preferred

  • Strong organizational and multitasking skills

  • Joyful, reliable, and professional demeanor

  • Able to manage a variety of responsibilities with flexibility and positivity

  • Willing to commit to a full school year

  • Confident using the following tools:

    • Google Workspace (Drive, Docs, Sheets, etc.)

    • Transparent Classroom

    • Canva

Qualifications:
  • Strong work history and professional references

  • CPR, First Aid & Universal Precautions certification (training provided if needed)

  • Must meet state licensing requirements for working in a school

  • Must be able to lift 40 lbs and sit on a tile floor for up to 60 minutes

  • Background check required: No felonies or crimes against children
