Position Summary: We're looking for a Service Writer to serve as the primary connection between our customers and service team. In this role, you'll coordinate repair and maintenance activities, communicate service recommendations, and ensure customers receive timely updates throughout the repair process.
The ideal candidate is customer-focused, organized, and mechanically inclined, with the ability to manage multiple priorities while delivering an exceptional customer experience.
Key Responsibilities:
  • Serve as the primary point of contact for customers regarding service and repair needs.
  • Prepare, process, and maintain accurate repair orders, including labor, parts, warranty information, and customer concerns.
  • Communicate repair status, timelines, and recommendations to customers throughout the service process.
  • Verify warranty coverage and service contract eligibility.
  • Recommend and explain additional maintenance or repair services as needed.
  • Coordinate with technicians to ensure accurate documentation of repairs and service recommendations.
  • Work closely with the Parts Department to source and procure needed parts.
  • Partner with administrative staff to ensure accurate invoicing and customer billing.
  • Support efforts to improve supplier relationships and identify cost-saving opportunities.
  • Maintain accurate service records and documentation.
  • Deliver a high level of customer service while fostering strong customer relationships.
  • Perform other duties as assigned.
Qualifications:
  • 1+ year of Service Writer, Service Advisor, or related customer service experience.
  • Strong communication, organizational, and customer service skills.
  • Proficiency with service management software and Microsoft Office.
  • Mechanical aptitude and ability to understand repair recommendations.
  • Valid driver's license with an acceptable driving record.
  • Ability to pass a pre-employment Fit for Duty assessment.
Preferred Experience:
  • Experience in construction, heavy equipment, transportation, fleet, or industrial service environments.
  • Familiarity with repair order systems, parts sourcing, and shop operations.
  • Proven ability to identify service opportunities and support customer satisfaction.
  • Experience working with technicians, parts departments, and customers in a fast-paced service environment.
Education:
  • Bachelor's degree preferred, or an equivalent combination of education and relevant experience.
