Job description

THE IDEAL CANDIDATE WILL:

  • Manage Chaos: establish a process for activities that lead to the implementation of systems, procedures or outcomes; identify long range goals and design plans to attain them; understand the needs of a situation and establish effective action plans; evaluate future implications of current decisions and actions.

THE SALES OPERATIONS ADMINISTRATOR WILL:

  • Maintain the accuracy and integrity of customer, prospect, opportunity, activity, and forecast information within HubSpot CRM.
  • Regularly audit CRM data and work with Regional Sales Managers (RSMs) to correct incomplete, outdated, or inaccurate information.
  • Review incoming sales inquiries, ensure they are properly documented, and route them to the appropriate RSM for follow-up.
  • Extract, organize, and analyze data from multiple business systems using Microsoft Excel to generate actionable insights for RSMs, Sales Management, and leadership.
  • Gather and organize sales metrics and KPI data for management meetings and business reviews.
  • Assist with special projects and other duties as assigned by the Sales Manager.

REQUIRED QUALIFICATIONS

  • Associate's degree in Business Administration, Marketing, Communications, or related field; equivalent experience preferred.
  • 3+ years of experience in sales administration, sales support, business operations, customer service, marketing coordination, or related roles.
  • Experience working with CRM systems (HubSpot Preferred) and business software applications.
  • Advanced proficiency with Microsoft Excel, including formulas, filters, pivot tables, lookups, and working with large data sets.
  • Experience preparing reports, tracking metrics, and managing multiple projects simultaneously.
  • Strong analytical, organizational, problem-solving, and communication skills with exceptional attention to detail.

PREFERRED QUALIFICATIONS

  • Experience in manufacturing, industrial equipment, automation, machinery, or capital equipment industries.
  • Experience supporting remote sales teams, dealer networks, or distributors.
  • Experience coordinating trade shows, training events, or customer-facing programs.
  • Familiarity with AI productivity tools such as ChatGPT or Microsoft Copilot to improve efficiency, organization, communication, and data analysis.
  • Demonstrated ability to identify process improvements and implement more efficient business practices.
