What is microlearning?

Microlearning is an educational approach that delivers content in small, focused segments, typically lasting a few minutes. The goal is to help learners absorb information quickly and efficiently, often through digital platforms such as videos, quizzes, or interactive modules. Microlearning is ideal for on-the-go learning, just-in-time training, and reinforcing key concepts without overwhelming the learner. It is commonly used in corporate training, professional development, and e-learning environments to boost engagement and retention.

What are the key skills and qualifications needed to thrive as a microlearning specialist, and why are they important?

To thrive as a Microlearning Specialist, you need expertise in instructional design, educational technology, and content development, often supported by a degree in education or instructional design. Familiarity with authoring tools like Articulate Storyline, Adobe Captivate, and learning management systems (LMS) is typically required. Strong communication, creativity, and an understanding of adult learning principles are essential soft skills for designing engaging and effective learning modules. These skills ensure that microlearning content is impactful, accessible, and tailored to meet the evolving needs of learners in fast-paced environments.

What are some common challenges faced by microlearning specialists when designing content for diverse audiences?

Microlearning specialists often encounter the challenge of creating content that is both concise and relevant for learners with varying backgrounds, skill levels, and learning preferences. Adapting complex topics into bite-sized, engaging modules without losing essential information requires careful planning and a thorough understanding of the target audience. Additionally, ensuring that microlearning content is accessible across different devices and platforms can be demanding, as it involves collaboration with instructional designers, subject matter experts, and technical teams. Regular feedback loops and ongoing data analysis are key to refining content for maximum impact.

Job description

Overview

SUMMARY

The Instructional Designer develops, deploys, and maintains high-quality learning solutions that support donation operations performance, workforce readiness, and regulatory compliance in a 24/7 clinical environment. This role partners with operational leaders, subject matter experts (SMEs), Quality, and Compliance to translate complex clinical and operational requirements into effective, measurable training and competency materials across modalities (eLearning, virtual instructor-led training, instructor-led training, simulations, job aids, and performance support tools). Training and documentation must be traceable, defensible, and audit-ready, consistent with the expectations that govern OPO operations (including CMS OPO Conditions for Coverage, OPTN/UNOS policy, and applicable federal/state requirements).

Responsibilities

ESSENTIAL DUTIES & RESPONSIBILITIES

1) Instructional Design & Development

  • Conduct needs analysis and performance analysis; define measurable learning objectives and success metrics.
  • Design and develop engaging learning experiences using adult learning principles and sound instructional design methods (e.g., ADDIE, iterative/agile approaches).
  • Create storyboards, scripts, knowledge checks, assessments, and facilitator/participant materials.
  • Develop eLearning using Articulate 360 (full suite), including interactive modules, scenario-based learning, software/process simulations, and microlearning assets.
  • Build practical performance support resources (checklists, quick-reference guides, job aids, workflow maps) that reinforce real-world execution.

2) Learning Management System (LMS) Implementation & Administration Support

  • Package, publish, and deploy content to the LMS (e.g., SCORM/xAPI as applicable); test functionality and learner experience.
  • Configure and maintain course shells, curricula/learning paths, assignments, prerequisites, and completion rules (within assigned permissions).
  • Support reporting and compliance tracking: run reports, troubleshoot completion issues, and ensure training records are accurate and readily retrievable for audits.
  • Maintain version control, change logs, and archival processes for training and competency documentation.

3) Regulatory & Audit Readiness Alignment

  • Partner with Quality/Compliance and operational SMEs to ensure learning solutions reflect current policies, procedures, and regulatory expectations.
  • Ensure training documentation supports traceability and audit readiness (e.g., learning objectives tied to requirements; evidence of completion and competency validation where applicable).
  • Incorporate updates arising from internal reviews, audit findings, occurrences, nonconformances, corrective actions, and process changes into relevant learning assets.

4) Stakeholder Partnership & Project Execution

  • Facilitate structured design conversations with SMEs to extract content, validate accuracy, and confirm workflow alignment.
  • Manage multiple projects with competing priorities; communicate timelines, risks, dependencies, and progress updates.
  • Apply quality standards, templates, and design governance to ensure consistency across the training portfolio.

5) Measurement, Evaluation & Continuous Improvement

  • Build evaluation plans (e.g., reaction, learning, and performance measures); analyze results to recommend improvements.
  • Monitor content effectiveness and usability; iterate based on learner feedback, performance data, and stakeholder input.

6) Other Expectations

  • Support a 24/7 operational environment; occasional after-hours work may be required during releases, critical updates, or operational needs.
  • Other duties as assigned.
Qualifications

REQUIRED QUALIFICATIONS

Education/Experience

  • Bachelor's degree in Instructional Design, Education, Learning & Development, Communications, or related field (or equivalent combination of education and experience).
  • 5-7 years of professional instructional design experience, preferably in healthcare or another highly regulated environment.

Tools & Technical Skills

  • Intermediate working knowledge of Articulate 360 (full suite) (e.g., Storyline, Rise, Review, and related tools) with a portfolio demonstrating applied work.
  • Intermediate working knowledge of LMS platforms (course setup, assignments, reporting, troubleshooting learner issues, maintaining training records).
  • Proficiency with Microsoft 365 (Word, PowerPoint, Excel, Outlook) and collaboration platforms (e.g., SharePoint/Teams).

Instructional Competencies

  • Strong command of adult learning theory and instructional design methodologies; ability to translate complex processes into clear, usable learning.
  • Excellent writing, editing, and visual communication skills; high attention to detail and quality assurance.
  • Ability to work effectively with SMEs and leaders; comfortable driving consensus and maintaining deadlines.

PREFERRED QUALIFICATIONS

  • Experience supporting clinical operations, donation/transplant workflows, or other time-sensitive healthcare environments.
  • Familiarity with regulatory frameworks relevant to OPO operations (e.g., CMS requirements, OPTN/UNOS policy, HRSA expectations, OSHA/HIPAA, and applicable state requirements).
  • Experience with simulation-based learning, scenario-based design, and competency validation approaches.
  • Professional certification (ATD CPTD/CPLP, CTP, or similar).

CORE COMPETENCIES (SUCCESS PROFILE)

  • Compliance-minded, detail-oriented, and comfortable designing for audit readiness and traceability.
  • Strong project management habits: prioritization, documentation, communication, follow-through.
  • Collaborative and service-oriented; able to translate stakeholder needs into effective learning solutions.
  • Continuous improvement mindset; iterates based on data and operational feedback.

PHYSICAL DEMANDS / WORK ENVIRONMENT (ADJUST AS NEEDED)

Typical office/clinical environment demands may include prolonged sitting/standing, use of computers and standard office equipment, and occasional travel to operational sites or partner hospitals. (Include any lifting/travel specifics required by your HR template.)
