Your Role:
The Proposal Architect serves as a critical bridge between Revenue Generation and Implementation, ensuring a smooth and informed transition from prospect to client.
 
This role begins with a detailed review of prospective clients’ existing QuickBooks files and/or financial reports to identify risks, complexities, and discussion points for the File Review call. The Proposal Architect participates in the File Review call, captures key insights, and prepares proposal documents that accurately reflect the client’s needs, scope, and estimated effort.
 
Once a prospect becomes a client, the Proposal Architect prepares and delivers all relevant documentation to the Implementation team to support a seamless onboarding experience. The role remains engaged post handoff to assist with offboarding questions, learn from outcomes, refine assumptions, and continuously improve the proposal and sales process.
 
This is an exceptional opportunity for a highly analytical, detail oriented accountant who thrives in a fast paced, collaborative environment. Overtime may be required to meet project deadlines.
 
Proposal Architect responsibilities may be performed entirely within proposal development or in combination with client accounting work, skill alignment, and business needs. Team members who choose to maintain client responsibilities will split their time between proposal development and client service. This approach allows team members to keep their technical and client facing skills sharp and build valuable experience in proposal development at the same time. Time allocation will be determined collaboratively and may be adjusted over time.
 
Essential Duties & Responsibilities:
  • Review and analyze prospects' existing QuickBooks file and/or financial reports; prepare detailed analysis for use during data file review call with prospects, including specific topics that should be covered during the review
  • Participate in File Review calls, take detailed notes, and highlight items requiring further clarification or follow up
  • Engage in fact finding with prospective clients, when necessary, to understand business processes and operational nuances
  • Apply analytical and critical thinking to translate file review findings into insights and recommendations for proposals
  • Prepare draft proposal documents and time estimate worksheets in accordance with ADC terms and conditions
  • Partner with Proposal Management to finalize proposal options and ensure accuracy and completeness
  • Review individual contracts for completeness and understand the intricacies
  • Reassess and amend contracts when scope, assumptions, or client needs change
  • Identify opportunities to improve the data file review, proposal preparation, and handoff process
  • Attend weekly Proposal Department and Sales Department meetings
  • Serve as a resource to Implementation during onboarding process
  • Ability to work outside normal hours as needed to meet objectives
Essential Skills & Experience:

  • Strong knowledge of fundamental bookkeeping and accounting principles, practices and procedures
  • Strong knowledge of accounting fundamentals and practical experience reviewing accounting system data and workflows (QuickBooks or similar) required

  • Exceptional analytical and critical thinking skills
  • Excellent written and verbal communication skills
  • Comfort asking probing questions to gain clarity during the proposal process
  • Able to adapt to ambiguous situations and exercise sound judgement
  • Meticulous attention to detail and accuracy
  • Strong organizational skills with the ability to manage multiple projects simultaneously
  • Ability to prioritize workload and shift gears based on workload and project demands
  • Proficiency with QuickBooks and Microsoft Office applications, particularly Outlook, Excel, and Word
  • Professional, friendly and approachable demeanor with strong customer service orientation
  • Comfortable working with many different personality types
  • Team oriented and comfortable working with others in a telecommuting environment using video conferencing
  • Process documentation experience is a plus
Minimum Education & Training Required:
  • Minimum 3 – 5 years accounting experience, preferably in a Client Accounting Services (CAS) environment 
  • Familiarity with implementation processes and procedures, preferred
