Job description

Essential Duties and Responsibilities

  • Schedules appointments and enters appointment date and time into computerized scheduler. Checks exam orders in Epic.

  • Work closely with physicians, nurses, and technologists to coordinate patient exams to expedite patient exams in a timely manner.

  • Performs cancels, reschedules and makes modifications to exam orders. Must be able to schedule exams easily and quickly with few errors for the following areas: CT, MRI, ultrasound, nuclear medicine, mammography, echo, stress lab, sleep lab, respiratory, speech therapy, diagnostic and interventional radiology, Mercy North as well as other departments as requested.

  • Monitors urgent exam wait list and first available list.

  • Works with Non-Mercy Physicians to have exams performed within Mercy Health System, collects correct information for the physician so that results are sent in a timely manner. Enters the order into EPIC.

  • Coordinates patient's multiple exam orders and exams with other appointments so that patients can complete all exams and appointments on as few visits as possible. Verifies Chiropractic orders insuring that they have a Mercy contract.

  • Coordinates sedation cases with modality and OR.

  • Coordinates biopsies with Radiologist schedule and Interventional Radiology for nursing staff availability and modality.

  • Greets and directs patients, salespeople, and visitors. Checks in and registers patients arriving in the Breast Center, releases order.

  • Collects information to request images from other facilities.

  • Answers telephone and either responds to inquiry or directs caller to appropriate personnel.

  • Notifies hospital registration, radiology reception, pre-cert and modality of all add on exams to insure that the exam will be preauthorized and performed expediently.

  • Pays very close attention to detail and is task oriented.

  • Manages high call volumes with few errors and maintains composure under pressure. Manages up to 3 software applications simultaneously.

  • When scheduling uses read back method when taking orders and setting up appointments


Education and Experience

  • High school diploma or equivalent; or one to three months related experience and/or training; or equivalent combination of education and experience.

  • Previous scheduling experience preferred.

  • Medical terminology strongly preferred.
