We are adding a key position to our award-winning team and are looking for an organized, energetic professional to step into a diverse, dual-focused role.This hybrid position is perfect for someone who loves variety. You will be the central hub of our dealership—providing an upscale, welcoming experience for guests while keeping our physical and digital vehicle inventory meticulously managed.

Your Core Responsibilities:Showroom Hospitality & Front Desk Operations

  • Ambassador of First Impressions: Warmly welcome arriving guests, clients, and partners, ensuring they are connected with the right department immediately.
  • Communication Hub: Manage our central switchboard by efficiently answering, filtering, and directing incoming phone calls and digital inquiries.
  • Logistics & Admin: Oversee incoming/outgoing mail, coordinate courier shipments, and assist with document filing, scheduling, and database data entry.

Vehicle Inventory Control & Digital Merchandising

  • System Ingestion: Process arriving new and pre-owned vehicles into our internal Dealership Management System (DMS) with complete accuracy.
  • Readiness Coordination: Schedule incoming fleet arrivals into our detailing, service, and subtrade pipelines so they are ready for the lot.
  • Online Merchandising: Update our digital showroom website with accurate pricing, vehicle features, and package options to attract online buyers.
  • Auditing: Perform monthly stock counts and track dealership license plate allocations.

Responsibilities

  • Manage inventory records, including data entry and updating stock levels using dealership software.
  • Oversee front desk operations, greeting visitors and directing inquiries with professionalism and enthusiasm.
  • Handle multi-line phone systems, answer calls promptly, and provide accurate information or direct calls appropriately.
  • Maintain organized filing systems for documents such as invoices, vehicle records, and customer files.
  • Support administrative tasks such as proofreading documents, scheduling appointments, and managing correspondence.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records.
  • Provide excellent customer support by addressing inquiries courteously and efficiently while maintaining positive relationships.
