Job Description:

The Event Planner is responsible for delivering exceptional event experiences across TD's conference venues and hospitality spaces. Acting as the primary liaison between event sponsors, conference operations, culinary teams, audiovisual providers, and external vendors, the role manages the planning and execution of a diverse portfolio of meetings, executive events, town halls, leadership forums, employee programs, client-facing experiences, and strategic corporate events. This position will also serve as the main point of contact for Office of the CEO (OCEO), Board of Directors, Senior Executive Team (SET), CEO-led, and EVP+ events, with oversight across TD Conference Centres within either Canada or the United States.

The successful candidate will lead the end-to-end event planning process, ensuring every event aligns with TD's brand standards, operational requirements, security protocols, and hospitality expectations while delivering seamless client experience.

Key Accountabilities

Event Planning & Execution

Manage the full event lifecycle from initial consultation through post-event evaluation. Develop event concepts, proposals, timelines, budgets, and logistical plans. Partner with business sponsors to understand objectives, attendee requirements, and desired event outcomes. Act on behalf of the client in coordinating with venue operations teams, on-site culinary teams, and service partners to translate event objectives into clear operational requirements and execution plans. Partner with culinary and venue teams to develop menu proposals, banquet event orders, room set-ups, service timelines, and detailed event execution instructions. Coordinate event enhancements such as gifting, entertainment, decor, specialty rentals, floral, signage, transportation, and other elevated guest experience elements as required. Coordinate multiple concurrent events across TD conference venues and hospitality spaces. Be on-site when directed for execution

Client Relationship Management

Serve as a trusted advisor to senior leaders, executive assistants, and business partners on event strategy and execution. Build strong relationships with internal clients and proactively identify opportunities to enhance the guest experience. Provide recommendations on venue selection, room configurations, catering, audiovisual solutions, decor, and event flow. Represent the client's requirements throughout the planning process, ensuring the venue, culinary, audiovisual, security, and vendor teams have accurate direction, timelines, approvals, and execution details.

Hospitality & Experience Design

Create memorable experiences that reflect TD's brand, culture, and service standards. Develop customized event concepts, menu recommendations, beverage programs, and guest experience enhancements. Coordinate executive dining, VIP experiences, leadership events, and special hospitality requirements at TD venues Identify "surprise and delight" opportunities appropriate to event objectives and audience expectations.

Vendor & Stakeholder Management

Collaborate with culinary, conferencing, workplace experience, security, facilities, and audiovisual teams as necessary Work closely with on-site culinary teams to review menu options, dietary requirements, preferences, service style, presentation standards, BEO accuracy, and day-of-event delivery expectations. Source and manage external vendors, including caterers, florists, rental companies, entertainment providers, transportation providers, and specialty suppliers. Negotiate pricing and manage vendor performance to ensure service quality and value. Lead vendor onboarding, scope alignment, quote review, purchase order coordination, insurance and compliance tracking, and service-level expectations for event-related suppliers. Manage vendor communications before, during, and after events to confirm requirements, timelines, access instructions, delivery schedules, setup needs, strike plans, and escalation protocols. Evaluate vendor performance through post-event debriefs, issue tracking, service quality reviews, and feedback from clients, venue teams, and internal stakeholders. Maintain a preferred vendor roster and support continuous improvement of supplier standards, pricing, reliability, responsiveness, and alignment to TD brand, compliance, and hospitality expectations.

Financial Management

Develop event budgets and cost estimates. Monitor event expenditures and ensure financial accountability. Identify cost-saving opportunities while maintaining service standards. Support invoice review, budget reconciliation, and post-event financial reporting. Collect, maintain, and report on event data, including event type, business sponsor, attendee volume, venue utilization, catering spend, vendor spend, service requirements, and post-event outcomes. Track (when made aware) when TD-hosted events are held off-site, including business rationale, venue selected, attendee profile, capacity constraints, timing considerations, experience requirements, cost drivers, and whether comparable internal TD Conference Centre options were available.

Risk & Compliance

Ensure all events comply with TD policies, workplace standards, accessibility requirements, and security protocols. Proactively identify operational, financial, and reputational risks and implement mitigation strategies. Ensure appropriate approvals, contracts, and documentation are completed.

Reporting, Analytics & Insights

Develop regular reporting on event volume, event category, executive event demand, attendee counts, internal venue utilization, off-site event usage, catering trends, vendor activity, and cost-per-event insights. Analyze trends to identify why events are hosted off-site, including capacity limitations, location requirements, privacy or security needs, client experience expectations, room configuration constraints, timing conflicts, or specialized production requirements. Provide insights and recommendations to improve venue planning, service offerings, internal conference centre utilization, vendor strategy, and future investment decisions. Create dashboards, summaries, and leadership-ready reporting that support hospitality strategy, demand planning, budgeting, and executive decision-making.

Continuous Improvement

Analyze post-event feedback and performance metrics. Lead event debriefs and identify opportunities for process improvements. Contribute to the evolution of TD's event planning standards, service offerings, and operating procedures. Support development of best practices, playbooks, and planning templates and applicable collateral/resources.

Qualifications

Education

  • Post-secondary degree or diploma in Hospitality Management, Event Management, Business Administration, Marketing, Communications, or a related discipline.

Experience

  • 5+ years of progressive experience in corporate event planning, conference management, hospitality, or venue operations.
  • Experience managing executive-level events and large-scale corporate programs.
  • Proven ability to coordinate multiple complex projects simultaneously.
  • Experience managing budgets and vendor relationships.
  • Experience overseeing vendor sourcing, onboarding, performance management, contract coordination, and service delivery for complex corporate or executive events.

Technical Skills

  • Microsoft 365 Suite (Teams, Outlook, Excel, PowerPoint, Word).
