POSITION SUMMARY:
The Family Barn Experience Coordinator supports the Recreation Manager in overseeing daily Family Barn operations, supervising both concierge and recreation staff, serving as the central communication hub for member information and experiences. As the lead to the Family Barn Recreation Team, this position ensures seamless coordination of all member inquiries, custom requests, event and recreation experiences across departments.
This role blends hands-on leadership with concierge-level hospitality, ensuring smooth operations, polished communication, and exceptional service that consistently exceeds member expectations.
As the management team’s key support, this position leads the ambassador team, upholds Martis Camp standards of excellence, and assists with the planning, promotion, and execution of year-round programs, events, and private experiences.
ESSENTIAL DUTIES & RESPONSIBILITIES:
LEADERSHIP & DEPARTMENT SUPPORT
• Serve as an on-site leader in the absence of management, supporting all aspects of the Family Barn operations.
• Supervise, coach, and inspire ambassadors to deliver exceptional service, presentation, and professionalism.
• Provide comprehensive training and continuous coaching for all new and returning Ambassadors, ensuring they are knowledgeable, confident, and prepared to perform their roles effectively.
• Oversee daily task assignments, ensuring smooth workflow and positive member experiences.
• Maintain departmental checklists, supply orders, and communication logs.
• Ensure all areas are member-ready clean, organized, and visually aligned with Martis Camp standards.
• Act as a liaison between management, concierge, Family Barn ambassadors, members, and other departments to ensure cohesive coordination and communication.
MEMBER CONCIERGE & INFORMATION HUB
• Serve as the lead concierge to the Family Barn Concierge Team, acting as the main source for all member information, recreation inquiries, and experience coordination.
• Manage the Family Barn email inboxes as the primary point of contact for all custom experience and activity requests, providing timely, polished, and informative responses.
• Coordinate communication among members, vendors, and internal departments to ensure seamless, personalized experiences.
• Assist members in planning custom recreation experiences, private bookings, and tailored itineraries.
• Maintain organized records of member preferences, requests, and participation to enhance future engagement. • Communicate program updates, schedule changes, and upcoming events to members and staff.
• Anticipate member needs and deliver proactive, thoughtful service with discretion and professionalism.
• Represent the Family Barn with warmth, attentiveness, and hospitality in all interactions, both written and in person.
OPERATIONS & FACILITY OVERSIGHT
• Oversee daily functionality of all Family Barn areas, including the Bowling Alley, Gym, Kids’ Corral, Art Loft, Theater, Sunroom, Nordic Shed and Parks.
• Conduct opening and closing checks to ensure cleanliness, readiness, and proper equipment operation.
• Maintain the desired ambiance through appropriate TV programming, music, and seasonal touches.
• Monitor inventory of supplies and equipment; communicate reorder needs to management.
• Support and enforce departmental safety, cleanliness, and emergency protocols.
PROGRAMMING & EVENT SUPPORT
• Assist management with planning, promoting, and delivering Family Barn programs and events.
• Provide on-site leadership during programs and events, ensuring exceptional member engagement and seamless execution.
• Oversee event planning, execution, and breakdown with the ambassador team.
• Track participation data and gather member feedback to inform future programming and enhance offerings.
TEAM CULTURE & COLLABORATION
• Foster a positive, professional, and team-oriented culture built on warmth, accountability, and shared success.
• Encourage ambassadors to take ownership of their roles and create meaningful member connections.
• Collaborate closely with Recreation, Folk School, Youth Programs, F&B, and Concierge teams to ensure cohesive operations and communication.
• Lead by example, embodying Martis Camp’s values of excellence, integrity, and genuine hospitality in every interaction.
KNOWLEDGE AND SKILLS QUALIFICATIONS:
Required:
• Strong leadership and communication skills with the ability to motivate and direct a team.
• Exceptional attention to safety, cleanliness, and member service standards.
• Ability to remain calm and professional in high-energy or emergency situations.
• Strong organizational skills with the ability to multitask and manage time effectively.
• Must be able to work holidays and weekends
• Must be able to work outdoors for extended periods and lift up to 40 pounds. Must be able to repeatedly reach/bend/kneel/pull/push/stoop/climb stairs to assist with product storage, cleaning duties.
Preferred:
• Prior experience in a private club, resort, or luxury hospitality environment.
• Previous experience managing seasonal teams and recreation programs.
• Enthusiastic, proactive, and team-oriented attitude aligned with Martis Camp’s Ambassador culture.
EDUCATION, EXPERIENCE, CERTIFICATIONS, AND LICENSES:
• Current certifications in CPR, First Aid, and AED (or ability to obtain prior to start date).
• Previous experience with Word, Excel and similar programs
