Medical Scheduler - Murrieta, CA
Position Overview
This position is responsible for making patient appointments following medical practice procedures and serving as a key point of contact for patient coordination.
Responsibilities
  • Appointment Scheduling: Work together with the appointment scheduling lead to schedule patient appointments by phone, email, and text. Use a computerized system to match physician availability with specific appointment types (Post-op, New Patient, Hospital Follow-up).
  • Insurance & Records Verification: Verify insurance eligibility and enter complete demographic information into Kareo/practice management system. Ensure proper authorizations are available and review progress notes to verify required tests are completed prior to scheduling.
  • Portal Navigation: Utilize various portals (Imaging, Labs, Cerner, Epic) to verify testing completion and pull results directly for the patient's chart.
  • Schedule Maintenance: Maintain the scheduling system daily to ensure records are accurate, complete, and available for analyzing patient/staffing patterns. Input daily updates (cancellations/additions), communicate same-day add-ons to staff, and ensure necessary test results are ready.
  • Team & Patient Communication: Communicate as needed with physicians, clinicians, and staff regarding patient scheduling concerns. Consult with the appointment scheduling lead/office manager regarding any system issues.
  • Patient Care: Apply strong customer service principles to interact with patients calmly, pleasantly, and clearly-even in high-stress or emergency situations.
  • Data Entry & Documentation: Receive operative reports, medical records, and face sheets for in-house patients, input demographic data into Kareo, and scan all records into the EMR.
  • Other Duties: Perform additional tasks as assigned.

Required Qualifications
  • Experience: 6+ months of medical scheduling experience.
  • Systems: Hands-on Experience with EMR systems and practice management software.
  • Knowledge: Working knowledge of medical terminology, medical practice scheduling protocols, and customer service principles.
  • Technical Skills: Competency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and multi-channel communication software (email, text).

Preferred Qualifications
  • Neurology/Neuro specialty experience.
  • Experience handling heavy call volume.

Schedule
  • Monday - Thursday: 8:00 AM - 5:00 PM
  • Friday: 8:00 AM - 1:30 PM
