What is a medical practice manager?

Medical Practice Managers are professionals responsible for overseeing the daily operations of medical practices, such as clinics, physician offices, or group practices. Their duties include managing staff, handling budgeting and billing, ensuring compliance with healthcare regulations, and maintaining efficient patient flow. They play a key role in facilitating communication between healthcare providers, patients, and administrative staff to ensure the practice runs smoothly and delivers quality care.

What does a medical practice manager do?

A medical practice manager oversees the day-to-day operations of a medical or health care facility. Medical practice managers are similar to office managers in non-medical businesses; they hire, train, and supervise office staff, order supplies, maintain financial and medical records, and address patient concerns and questions about their appointments and accounts.

What are the key skills and qualifications needed to thrive as a medical practice manager, and why are they important?

To thrive as a Medical Practice Manager, you need expertise in healthcare administration, financial management, and personnel supervision, typically supported by a bachelor's degree in healthcare administration or a related field. Familiarity with electronic medical records (EMR) systems, billing software, and knowledge of healthcare regulations and certifications like CMOM or ACMPE are important. Strong leadership, communication, and problem-solving skills are vital for managing staff and ensuring smooth practice operations. These skills and qualities are crucial for maintaining compliance, optimizing efficiency, and delivering high-quality patient care in a medical practice.

What are some common challenges medical practice managers face when balancing administrative duties with patient care priorities?

Medical Practice Managers often juggle administrative responsibilities such as staffing, budgeting, and regulatory compliance, while also ensuring that patient care remains a top priority. This balance can be challenging, especially in busy practices where operational demands and patient needs compete for attention. Effective time management, clear communication, and delegation are key to overcoming these challenges. Managers frequently collaborate with physicians, nurses, and administrative staff to streamline workflows and maintain high-quality service.

Job description

Medi-Weightloss of Framingham
Full-time, onsite | Framingham, MA
$28–$34 per hour (approximately $58,000–$71,000 annually), plus performance-based bonus opportunities
Bilingual English/Spanish or English/Portuguese strongly preferred

Help patients take the first step toward better health

When someone contacts Medi-Weightloss, they have already started thinking about making an important change in their health. As our Patient Coordinator & Clinic Growth Lead, you will help turn that interest into action.

You will guide prospective patients from their first question through scheduling and enrollment, while also creating a welcoming, organized experience for established patients. Because our Framingham clinic is growing, you will have a meaningful opportunity to shape how we serve patients, build relationships within the community, and develop processes that support the clinic’s long-term success.

This role is ideal for someone who combines warmth and empathy with initiative, organization, and a talent for helping people feel confident about taking the next step.

What you’ll do
Connect prospective patients with care
  • Respond promptly to inquiries received by phone, website, referral, or walk-in.

  • Learn what each prospective patient hopes to achieve and explain our programs in clear, approachable language.

  • Answer common questions about program options, cost, insurance, scheduling, and the patient experience.

  • Help prospective patients feel comfortable scheduling their initial appointment.

  • Follow up thoughtfully with individuals who need additional time or information before making a decision.

  • Reconnect with previous inquiries and invite them to reconsider their health goals.

Support clinic growth
  • Track key performance measures, including response time, contact rate, appointments booked, show rate, and patient enrollment.

  • Work toward clearly defined booking and enrollment goals.

  • Identify opportunities to improve follow-up, scheduling, and patient communication.

  • Assist with community outreach, referral development, and other clinic-growth initiatives.

  • Share ideas and observations that can help the clinic reach and serve more patients.

Create an excellent patient experience
  • Provide a warm and professional experience from a patient’s first interaction through ongoing visits.

  • Manage phone calls, scheduling, check-in, checkout, and patient payments.

  • Listen carefully, address concerns, and help resolve issues before they become larger problems.

  • Treat every patient with compassion, respect, and discretion.

  • Help patients feel known, supported, and encouraged throughout their journey.

Help build strong clinic operations
  • Develop and maintain efficient front-desk and patient follow-up processes.

  • Keep accurate records and ensure important tasks are completed consistently.

  • Recognize opportunities for improvement and recommend practical solutions.

  • Document processes and help train future team members as the clinic grows.

  • Collaborate with clinical staff and ownership to support a positive, patient-focused environment.

Schedule

Our patients often need appointments outside traditional business hours, so some evening and weekend availability is required.

Current clinic hours are:

  • Wednesday: 12:00 p.m.–7:00 p.m.

  • Thursday: 8:00 a.m.–6:00 p.m.

  • Friday: 8:00 a.m.–1:00 p.m.

  • Saturday: 8:00 a.m.–1:00 p.m.

As the clinic grows, the schedule may evolve based on patient demand and business needs. The person in this role will have an opportunity to provide input as we determine which hours best serve our patients and support the clinic’s success.

What we’re looking for
  • Three or more years of experience in patient coordination, treatment coordination, consultative sales, membership sales, med spa, dental, fitness, hospitality, or another service-focused environment.

  • Experience working toward measurable goals such as appointments booked, memberships sold, enrollments completed, or sales targets achieved.

  • Confidence communicating by phone and providing courteous, consistent follow-up.

  • The initiative and organization to manage your day and prioritize responsibilities independently.

  • Strong written and verbal communication skills.

  • Sound judgment when working with confidential patient information.

  • Dependability and the ability to work onsite, including Saturday mornings.

Strongly preferred
  • Fluency in Spanish or Portuguese. Framingham is a diverse community, and we want patients—including members of our Brazilian and Hispanic communities—to feel understood and supported.

  • Experience in a medical, dental, med spa, wellness, or weight-management practice.

  • Experience working in a new or rapidly growing business.

  • Familiarity with scheduling platforms, customer relationship management systems, electronic medical records, or insurance intake.

A college degree is welcome but not required. We value relevant experience, demonstrated results, and the ability to connect with people.

You may be a great fit if you
  • Enjoy helping people feel confident about making important decisions.

  • Are energized by the opportunity to improve and build new processes.

  • Adapt well as priorities and business needs evolve.

  • Appreciate having clear goals and seeing the results of your work.

  • Can be both genuinely compassionate and comfortable asking someone to take the next step.

  • Believe that effective enrollment begins with listening and understanding.

  • Want to grow with a clinic and play a meaningful role in its future success.

Compensation and growth

This position pays $28–$34 per hour, depending on experience, which is approximately $58,000–$71,000 annually for a full-time schedule.

The role also includes performance-based bonus opportunities tied to appointments booked and patients enrolled.

Medi-Weightloss of Framingham is in an exciting stage of growth. As the clinic expands, this position has the potential to grow in operational responsibility, leadership, and influence.

How to apply

Please briefly answer the following questions with your application:

  1. What booking, enrollment, membership, or sales goals have you been responsible for, and what results did you achieve?

  2. Tell us about a time you helped someone feel confident making a decision that benefited them.

  3. What languages do you speak, and how would you describe your proficiency in each?
