Job description

Office Assistant

The Office Assistant provides administrative and operational support to Human Resources and other departments to help maintain efficient day-to-day office operations. This position assists with document management, office organization, employee support, meeting coordination, and general administrative projects.

The Office Assistant also provides backup coverage for the receptionist, including assisting visitors and handling incoming telephone calls as needed.

The ideal candidate is punctual, dependable, organized, professional, and comfortable supporting multiple functions in a fast-paced office environment.

Essential Duties and Responsibilities
  • Provide general administrative support to Human Resources, management, and other departments as needed.
  • Assist with data entry, scanning, filing, document preparation, correspondence, and record maintenance.
  • Maintain organized electronic and physical files.
  • Coordinate routine office needs with vendors and service providers.
  • Assist with company lunches, employee events, meetings, and other office activities.
  • Provide backup coverage for the receptionist as needed.
  • Greet and assist employees, candidates, vendors, and visitors during front-office coverage.
  • Answer, screen, and route incoming telephone calls during front-office coverage.
  • Maintain confidentiality of employee, applicant, and company information.
  • Perform other administrative duties and special projects as assigned.
Qualifications
  • Previous administrative, office support, customer service, or similar experience preferred.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Strong organizational and time-management skills.
  • Professional verbal and written communication skills.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple priorities and interruptions.
  • Ability to interact professionally with employees, candidates, visitors, vendors, and management.
