About the job
The SAS Health Care Center (HCC) is looking for a Medical Office Administrator to join our team! Since 1984, the HCC has proudly delivered the highest quality healthcare, whether managing complex chronic conditions, treating acute illnesses or injuries, or administering routine immunizations. And because we are a family practice, we care for all age groups, from newborns to geriatrics. The Medical Office Administrator provides administrative support to the HCC by utilizing a working knowledge of medical terminology, phone triage, emergency response and medical office procedures.
As a Medical Office Administrator, you will:
  • Greet and direct patients, inform nursing staff of patient arrivals, update patient demographic information
  • Handle daily patient and provider correspondence, check incoming patient portal appointment requests
  • Schedules patient appointments, including specialty and follow-up visits, for a group of multidisciplinary providers. Manages incoming calls with an understanding of basic triage and use of sound judgment, recognizing when a situation is an emergency and/or that a call needs to be handled by a clinical staff member. Must be able to handle multiple lines and issues concurrently.
  • Accurately and completely records and routes messages to the correct staff using an electronic health record; answers questions based on a thorough understanding of HCC policies, procedures and operations. Understands when a situation is beyond their knowledge or expertise and refers accordingly.
  • Verifies SAS health plan coverage/insurance code for all individuals requesting HCC appointments.
  • Performs other duties, as assigned.

Required Qualifications
  • High school diploma or equivalent. Coursework related to medical office administration is preferred.
  • Typically requires four years of recent medical office experience in a primary care office setting, to include handling a large quantity of patient phone calls and determining their priority.
  • Equivalent combination of related education, training and experience may be considered in place of the above qualifications.

  • Adaptability - Maintaining effectiveness when experiencing major changes in work responsibilities or environment (e.g., people, processes, structure, or culture); adjusting effectively to change by exploring the benefits, trying new approaches, and collaborating with others to make the change successful.
  • Decision Making - Identifying and understanding problems and opportunities by gathering, analyzing, and interpreting quantitative and qualitative information; choosing the best course of action by establishing clear decision criteria, generating and evaluating alternatives, and making timely decisions; taking action that is consistent with available facts and constraints and optimizes probable consequences.
  • Knowledge of medical office procedures
  • Good communication skills with excellent telephone manner
  • Good administrative skills
  • Ability to read and write with correct grammar and spelling
  • Ability to handle multiple telephone calls which may include emergency situations with the ability to determine priority when scheduling patient appointments
  • Previous experience with Microsoft Outlook and Teams preferred
