Job description

Job Title: Supervisor of Outreach Lab Services

Department: Outreach Lab Services
Location: Riedman Campus | 100 Kings Highway S. Rochester, NY 14617
Hours Per Week: 40
Schedule: Monday - Friday, 8-hour shifts, 9:00a - 5:30p, on-call and weekend rotations required

SUMMARY

Under the direction of the Sr. Manager, the Supervisor of Outreach Lab Services supervises team members of Ambulatory Laboratory Services related to the daily operational needs of the department by assuring that decisions related to operations are made within all department, hospital and regulatory guidelines. The Supervisor supervises, coordinates, and participates in activities related to Courier Services, ensures the transport of time-sensitive specimens, reports, and supplies between Lab Service Centers, Hospitals, Medical Office Buildings, and Physician Offices according to established schedules and need., schedules operations and oversees the maintenance of vehicles, and is responsible for all HR and regulatory functions as required by organizational policy and regulatory requirements.

RESPONSIBILITIES:

  • Supervise all operations for Courier and Lead Courier responsibilities.
  • Scheduling of courier staff to ensure appropriate pickup/delivery of laboratory related specimens and materials.
  • Establish department goals to align with the mission/vision/strategy of the organization.
  • Ensures that the procedures/manuals are reviewed regularly for accuracy, signed annually and conform to good laboratory practice.
  • Performs huddles, cascades and rounding with staff.
  • Conducts monthly staff meeting.
  • Maintains oversight of route listing.
  • Rides with drivers routinely to monitor staff performance.
  • Supervises, interviews, hires, orients, plans trains, coaches and develops staff.
  • Approves ETO time for staff.
  • Monitors continued performance and implements performance improvement plans when needed.
  • Maintains personnel files according to regulatory requirements and reviews files annually for completeness.
  • Prepares and gives probationary and annual evaluations within organizational requirements.
  • Monitors dash boards to ensure compliance with all organizational mandatory education.
  • Fosters teamwork and a collegial atmosphere.
  • Provides input on budget related items associated with staffing, operations and capital.
  • Works with Sr. Manager to resolve discrepancies found in the monthly review of said budgets.
  • Maintains needed stock and supplies in department.
  • Responsible for adhering to all regulatory standards and inspections for the department.
  • Accurately documents issues into the QA system (Quantros) and follows up as required.
  • Researches and reports on customer and patient complaints/concerns within guidelines or as requested.
  • Monitors monthly staff compliance with health reviews, mandatory education, orientation completion and on-boarding documentation.
  • Is responsible for department orientation, oversees staff educational needs, training and staff competency assessment.
  • Responsible for the oversight of fleet management.
  • Working with purchasing and Sr. Manager, assists in negotiating leases and ensures that vehicles are kept to contractual requirement including but not limited to mileage management and routine maintenance for all lab fleet vehicles.
  • Responsible for follow up for all vehicle repair/accident/replacement necessary to assure fleet is presentable and functioning within standard and contractual agreement.

REQUIRED QUALIFICATIONS:

  • Must have valid, clean NYS driver's license as defined by Qualifications of Motor Vehicle Operations Policy

PREFERRED QUALIFICATIONS:

  • AAS degree preferred or 6 years equivalent experience performing courier and materials management functions with progressively more responsibility
  • Minimum of 4 years of managing/supervisory experience preferred
