The Lead Medical Assistant is a key member of the clinical team, supporting both patient care and Medical Assistant operations. This role is responsible for fostering a collaborative, service-oriented environment while mentoring Medical Assistant staff, ensuring efficient workflows, and promoting adherence to clinical protocols. The Lead MA plays an essential role in clinical coordination, training, communication, and ensuring high-quality patient care.
Job Responsibilities (include but are not limited to):
  • Serve as a positive role model and primary point of support for Medical Assistant team members.
  • Foster open, respectful, and effective communication between clinical and administrative teams.
  • Collaborate with front office staff, clinical providers, and leadership to support efficient and coordinated patient care.
  • Lead training, onboarding, and ongoing mentorship of new Medical Assistants to ensure workflow understanding and protocol compliance.
  • Identify workflow inefficiencies or care gaps and work with leadership to implement process improvements.
  • Assist with inventory management, including ordering clinical supplies and monitoring vaccine compliance (VFC, CHIRP).
  • Support quality assurance initiatives, safety standards, and regulatory readiness efforts.
  • Promote a team-oriented, service-focused culture aligned with organizational mission and values.
  • Monitor daily patient flow and assist in resolving scheduling or triage issues to maintain clinic efficiency.
  • Participate in clinical huddles, team meetings, and quality improvement initiatives.
  • Ensure proper documentation and adherence to HIPAA, OSHA, and all regulatory standards.
  • Act as a liaison between the MA team and clinic leadership, elevating concerns and providing timely feedback.
  • Perform routine audits of clinical workflows, documentation, and patient interactions to ensure consistency and protocol adherence.
  • Assist with vaccine management and reconciliation, including temperature log monitoring and compliance with storage guidelines.
  • Support coordination of student and externship placements, providing onboarding and oversight as needed.

Minimum Qualifications:
  • Certified (CMA) or Registered (RMA) Medical Assistant
  • Graduate of an accredited ABHES or CAAHEP Medical Assistant program
  • High school diploma or equivalent required
  • American Heart Association BLS certification required
  • Knowledge of standard clinical, lab, and medical procedures
  • Computer literacy and accurate data entry skills required
  • Familiarity with VFC, CHIRP, and VOMS systems strongly preferred
  • Minimum of 3 years' experience in an ambulatory care setting preferred
