Medical Assistant / Front Office & PI Coordinator

About Revive Regenerative Medical Group

Revive Regenerative Medical Group is seeking a professional, dependable, and highly organized Medical Assistant / Front Office & Personal Injury Coordinator to join our team.

This position combines hands-on medical assisting with front-office responsibilities, billing support, and personal injury (PI) case management. The ideal candidate is comfortable working directly with patients, providers, attorneys, and law offices while keeping patient records and PI cases organized and up to date.

Key Responsibilities

Medical Assistant & Clinical Duties

  • Assist providers with patient intake and preparation for appointments.
  • Obtain and accurately document patient histories, vital signs, and other clinical information.
  • Prepare examination and treatment rooms before and after patient visits.
  • Assist providers with procedures and patient care as needed.
  • Perform B12 injections as directed and within applicable scope-of-practice requirements.
  • Accurately document treatments, injections, and other relevant information in the patient’s medical record.
  • Maintain appropriate clinical supplies and notify management when supplies need to be reordered.
  • Maintain a clean, organized, and professional clinical environment.
  • Follow HIPAA, patient confidentiality, and applicable clinical safety requirements.

Front Office & Patient Coordination

  • Answer incoming phone calls professionally and assist patients with questions and requests.
  • Schedule, confirm, reschedule, and coordinate patient appointments.
  • Check patients in and out and maintain accurate patient information.
  • Follow up with patients regarding appointments, treatment, paperwork, and outstanding items.
  • Maintain organized electronic patient records.
  • Help ensure patients receive a professional and welcoming experience from initial contact through completion of treatment.

Personal Injury Case Management

  • Manage and track personal injury (PI) cases throughout the patient’s course of treatment.
  • Communicate professionally with attorneys, law firms, case managers, and other authorized representatives.
  • Obtain and maintain attorney information, Letters of Protection/Liens, insurance information, claim information, and other necessary PI documentation.
  • Respond to requests for medical records, bills, treatment information, and supporting documentation.
  • Monitor patient treatment compliance and follow up regarding missed appointments or gaps in care.
  • Maintain detailed documentation of communications with patients and law offices.
  • Keep PI files organized and ensure required documentation is completed and uploaded promptly.
  • Assist with case status requests and coordinate documentation when patients complete treatment.

Billing & Administrative Duties

  • Assist with medical billing and patient account management.
  • Prepare itemized billing statements and medical records when requested.
  • Review patient accounts for accuracy and completeness.
  • Communicate with attorneys and law offices regarding billing, outstanding balances, and case status.
  • Track PI accounts and outstanding balances.
  • Assist with liens, Letters of Protection, billing documentation, and settlement-related requests.
  • Coordinate medical record and billing requests while ensuring proper authorization and HIPAA compliance.
  • Perform additional administrative and front-office duties as needed.

Qualifications

  • Medical Assistant experience preferred.
  • Medical Assistant certification preferred where applicable.
  • Experience in a medical, regenerative medicine, pain management, orthopedic, chiropractic, or personal injury practice is preferred.
  • Personal injury case management experience is highly preferred.
  • Experience communicating with attorneys and law firms is a strong plus.
  • Experience administering injections, including B12 injections, preferred.
  • Knowledge of medical billing and medical terminology.
  • Comfortable using EMR/EHR systems, email, phone systems, and standard office software.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple patients, cases, and administrative responsibilities simultaneously.
  • Professional, dependable, punctual, and capable of working independently as well as part of a team.
