Job description

SM Aesthetics is seeking an experienced medical assistant / Receptionist to join our growing medical aesthetics practice in Bellmore, NY.


We are looking for someone who is professional, personable, highly organized, and confident working in a fast-paced, client-focused med spa environment. Previous medical spa or aesthetics experience is required. The ideal candidate understands the flow of an aesthetics practice, is familiar with common treatments and terminology, and can provide an exceptional experience from the moment a client contacts our office through checkout and follow-up.


Responsibilities

  • Greet and check in clients while providing a warm, professional experience
  • Answer phone calls, text messages, and client inquiries
  • Schedule, confirm, and manage appointments
  • Educate clients on services, promotions, memberships, and treatment options within the scope of the role
  • Complete client intake and consent forms
  • Take before-and-after photos
  • Room clients and prepare them for treatments
  • Assist providers with patient flow before and after procedures
  • Provide pre- and post-treatment instructions as directed by providers
  • Process payments and schedule follow-up appointments
  • Maintain accurate client information and appointment records
  • Prepare, clean, disinfect, and restock treatment rooms as needed
  • Assist with product, medical, and aesthetic supply inventory
  • Maintain a clean, organized, polished, and professional front desk and practice environment
  • Assist with general daily practice operations and provide support to the clinical team as needed


Requirements

  • Saturday availability REQUIRED
  • Familiarity with aesthetic treatments, injectables, skincare, and med spa terminology
  • Strong customer service and communication skills
  • Professional, polished, friendly, and confident demeanor
  • Excellent organizational skills and attention to detail
  • Ability to multitask and prioritize in a busy environment
  • Dependable, proactive, and team-oriented
  • Comfortable discussing services, pricing, promotions, and scheduling with clients


Preferred Qualifications

  • Experience with Boulevard scheduling/practice management software
  • Experience with Weave phone and client communication software
  • Previous experience in a patient coordinator, front desk, receptionist, or similar role within a medical aesthetics practice

  • Schedule: Approximately 15–25 hours per week, including Saturdays.
