Shift: Monday-Friday 9am-5pm

Length: 3 months, Possible Extension

Pay: $20 - $21/hr on W2


Education:

Bachelorโ€™s degree or combination or applicable experience and education

3 -5 years of experience working as a Admin assistant.

Experience coordinating and scheduling meetings and managing calendars.


Skills:

  • 5 years of related administrative or business experience required.
  • Some supervisory experience preferred.
  • Intermediate proficiency in MS Office Suite.
  • Adaptability to major changes in work responsibilities, processes, requirements, or work environments.
  • Builds customer loyalty by effectively meeting customer needs and maintaining productive customer relationships.
  • Develops and maintains collaborative work relationships to accomplish goals.
  • Strong communication skills with the ability to clearly convey information to individuals and groups.


Job Duties:

  • Answer routine and specific inquiries and direct requests to the appropriate department or individual when necessary.
  • Assist in maintaining and monitoring budgets and grant allocations and prepare documents to maintain balanced accounts.
  • Initiate and process human resources and payroll transactions, including generating weekly payroll submissions and coordinating with HR and Payroll to resolve issues.
  • Manage office supplies by maintaining inventory, reordering merchandise, collaborating with Purchasing, and tracking vendor contract renewals.
  • Assist with planning and coordinating forums, conferences, seminars, meetings, and visiting professorships, including preparing informational materials and distributing meeting minutes
  • Assist with grant applications, special projects, and survey preparations as needed.
  • Mentor, train, and orient new office support staff while monitoring performance.
  • Coordinate administrative, secretarial, and general office support coverage.
  • Perform other related administrative duties as assigned.
