About the role
We are seeking an organized, proactive, and service-oriented Development Office Coordinator to support our West Hollywood office. This role is responsible for creating a welcoming, organized, and efficient office environment while providing administrative and operational support to local teams.
The Office & Development Assistant will serve as the primary point person for day-to-day office operations, ensuring the office is fully stocked, organized, and running smoothly. They will also support employee onboarding, office events, team gatherings, and special projects while partnering closely with our Columbus-based Office Manager to maintain consistency across locations.
In addition, this role will provide administrative and coordination support to members of our Development team, which is charged with growing the business across the West Coast, assisting with scheduling, meeting logistics, event coordination, and other organizational needs.
This is a highly visible role that requires someone who enjoys helping others, takes pride in creating exceptional employee experiences, and thrives in a fast-paced environment. Describe the role and team the candidate will be joining
What you'll do
Office Operations & Administration
  • Manage the day-to-day operations of the West Hollywood office.
  • Order, stock, and organize office supplies, snacks, beverages, and kitchen inventory.
  • Coordinate office maintenance requests and vendor relationships.
  • Ensure conference rooms, common areas, and shared workspaces are organized and presentable.
  • Receive and distribute mail, packages, and deliveries.
  • Maintain office records, supplies, and organizational systems.
  • Assist with invoice processing and office-related expense tracking.
  • Support general administrative needs for local employees and visiting team members.

Employee Experience & Onboarding
  • Coordinate onboarding logistics for new hires in the Los Angeles office.
  • Prepare workstations, office access, welcome materials, and first-day experiences.
  • Serve as a local resource for employees regarding office-related questions.
  • Help organize employee engagement activities, celebrations, and team events.
  • Partner with HR and the Columbus Office Manager to ensure a consistent employee experience across locations.

Event Planning & Coordination
  • Assist with planning and executing internal meetings, team events, client gatherings, and community events.
  • Coordinate catering, venue logistics, supplies, registrations, and event materials.
  • Support local office events as well as company-wide initiatives when needed.

Development Team Support
  • Provide administrative support to members of the Development team.
  • Coordinate calendars, meetings, travel arrangements, and scheduling.
  • Assist with organizing project-related meetings, community events, and stakeholder gatherings.
  • Track action items and help ensure follow-up on key administrative tasks.
  • Support special projects and research as assigned.

Qualifications
Required Qualifications
  • 2+ years of experience in office administration, office management, executive support, event coordination, or a similar role.
  • Strong organizational and project management skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and shifting deadlines.
  • Strong attention to detail and follow-through.
  • Proficiency with Microsoft Office and Google Workspace.
  • Ability to work independently while collaborating effectively with remote team members.

Preferred Qualifications
  • Experience supporting multiple departments or executives.
